They strive to provide exceptional care and believe in high-performing teams. The Sr. Practice Assistant role is within MGH Radiation Oncology at Newton-Wellesley Hospital. This position involves providing organizational support to physicians, nurses, and clinical staff in a fast-paced ambulatory setting, ensuring smooth daily operations and a positive patient experience. The incumbent will operate under the general supervision of the Practice Manager, handling a wide range of tasks and responsibilities with a high degree of initiative and a broad understanding of Hospital practices and policies. The role works collaboratively with all physicians, residents, nurses, NP’s, and other clinical staff to maintain a quality-based workflow within the Radiation Oncology department.

Requirements

  • High School Diploma or Equivalent required
  • 3-5 years medical office experience required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Provides support to multiple physicians in a busy clinic setting
  • Performs all front desk check in/check out functions (including insurance verification and copay collection)
  • Prior authorizations for treatment and insurance appeals
  • Run daily schedules in Mosaiq
  • Ensures compliance with Rad Oncology wristband policy and patient identification
  • Schedules patient transport and pickup for inpatients in Epic using the Patient Transport Tracking module
  • Schedules translators for patient appointments
  • Call the inpatient floors to confirm patient treatment and transport times every morning
  • Answers multiple busy phone lines
  • Assist with reminder calls
  • Assist with managed care authorizations and Epic work queues
  • Coordinates the workflow and schedules with the department to ensure efficient daily operation; including scheduling physician and NP appts, interpreters, chemo disconnects, nutrition appts
  • Works to ensure HIPAA Confidentiality and Privacy Policies are fully implemented.
  • Assists with special projects as required. Projects may include such topics regarding billing, charge entry, compliance and/or Operations Improvement Initiatives.
