About The Position

Intentional Philanthropy is seeking a hands-on Senior Manager, Operations & HR to manage internal operations, HR administration, technology support, workplace systems, and organization-wide coordination. This role ensures that employee, resource, workplace, and organization-wide operational needs are addressed accurately, responsively, and consistently. The Senior Manager independently manages recurring processes and operational projects, improves workflows and documentation, coordinates internal and external partners, and follows work through completion. The position serves as employees' primary contact for routine HR and operational needs and completes the related administrative work, seeking guidance when specialized expertise or additional authority is required. This is a full-time, exempt, hybrid role based in the DMV region, combining remote work with periodic in-office collaboration at IP's Bethesda, Maryland office. Employees should be able to commute to the office as needed and maintain a reliable remote workspace. Occasional travel, evening, or weekend work may be required for meetings and organizational events.

Requirements

  • Bachelor's degree in business administration, human resources, organizational management, or a related field, or an equivalent combination of education and relevant experience.
  • A minimum of six years of progressively responsible experience in business operations, HR operations, office management, project management, or a related area.
  • Demonstrated experience working across multiple internal operational functions, such as HR administration, business systems, internal service delivery, office and vendor operations, or cross-functional projects.
  • Operational Systems & Process Management: Ability to manage recurring operational processes, clarify ownership and handoffs, document procedures, identify inefficiencies, and implement practical improvements.
  • Project & Service Coordination: Ability to plan and coordinate multiple operational projects, meetings, service needs, and action items while managing responsibilities, dependencies, deadlines, and follow-through.
  • Technology & Platform Administration: Ability to learn and administer business platforms, support users, manage access and licenses, maintain equipment records, troubleshoot routine issues, and coordinate specialized support.
  • HR Operations & Employee Lifecycle: Working knowledge of recruitment, onboarding, employee records, payroll and benefits administration, leave coordination, performance-cycle administration, employee experience, offboarding, and confidentiality requirements.
  • Written Communication & Information Management: Strong writing and editing skills and the ability to gather, organize, maintain, and distribute accurate information.
  • Cross-Functional Collaboration & Service Orientation: Strong interpersonal skills and the ability to serve as a responsive, trusted point of coordination for employees, leaders, consultants, vendors, and functional teams.
  • Resourcefulness & Problem Solving: Ability to research questions, identify potential solutions, and make appropriate progress before escalating, while recognizing when specialized expertise or additional authority is required.
  • Judgment & Confidentiality: Sound judgment in handling sensitive employee and business information, maintaining appropriate boundaries, recognizing risk, and escalating concerns promptly.
  • Organization, Accuracy & Follow-Through: Ability to manage competing priorities, maintain accurate records, coordinate deadlines, monitor commitments, and ensure work is completed thoroughly and on time.

Responsibilities

  • Coordinate recruitment, hiring, onboarding, and orientation
  • Administer employee records, payroll, benefits, leaves, employee changes, and offboarding
  • Coordinate performance cycles, learning, compliance training, recognition, engagement, and wellness activities
  • Maintain HR systems, reports, policies, forms, procedures, and partner relationships
  • Serve as employees' initial contact for routine HR needs and escalate employee-relations or risk matters appropriately
  • Administer subscribed platforms, including access, licenses, permissions, renewals, user support, and vendor coordination
  • Provide level-one technology support and coordinate specialized assistance
  • Manage the equipment lifecycle and maintain accurate inventory records
  • Support employee adoption and implementation of approved technology and AI resources
  • Coordinate workplace systems, supplies, mail, reception, meeting spaces, safety, cleanliness, and hybrid-office needs
  • Administer purchasing, contract-review coordination, memberships, insurance certificates, renewals, and vendor records
  • Coordinate organization-wide meeting, travel, event, and retreat logistics
  • Maintain business-continuity and workplace-readiness procedures and resources
  • Own the organization-wide operational calendar and recurring staff and quarterly operations meetings
  • Administer IP's internal ticketing system and monitor service requests through resolution
  • Coordinate the internal newsletter, biweekly offline updates, and shared operational information
  • Plan and coordinate cross-functional operational projects using Monday.com and other tools
  • Implement established operational & HR processes, monitor adherence, and address or escalate when needed
