About The Position

OpenText is seeking a Facility Coordinator to join our Facilities Management and Operations team and support the office functions at our Broomfield, CO. As a vital member of the Facilities Operations team, your focus will be to ensure the office operates effectively and efficiently, service levels are phenomenal, and our guests are received with energy, enthusiasm, and professionalism. As a first point of contact, you will be an ambassador of our brand and take pride in providing the optimal client experience. This position requires organization, creativity, active listening, and enthusiasm. Requirements

  • Minimum 5 years previous experience in office services role / administrative support
  • Possesses excellent verbal/written communication and interpersonal skills
  • Ability to interface and communicate with all levels of the organization; Strong client service focus
  • Highly proficient in MS Office Suite (Word, Excel, Outlook, Teams) and ability to learn new software quickly and proficiently (SAP, NetSuite, Ariba, CenterStone, Concur).
  • Ability to recognize critical items, prioritize accordingly, and execute with decisive action.
  • Provide a positive experience to our clients, clients, and employees alike;
  • Demonstrated ability to work collaboratively as part of a team and in a team environment.
  • Ability to be discreet and handle confidential, sensitive information
  • Working experience with UPS, FedEx, AIT, and other couriers with domestic and international shipments, including large freight items.
  • Some physical labor is required: the ability to lift twenty pounds.

Responsibilities

  • Serve as the primary Facilities point of contact for employees, contractors, vendors, and internal teams including IT, HR, Real Estate, Workplace Programs, Security, and Health & Safety, managing daily site operations, requests, and issues.
  • Provide reception and front-desk support, including visitor management, phone handling, employee assistance, mail distribution, courier coordination, and maintaining professional client service standards.
  • Manage office operations and workplace services, including maintaining office supplies, kitchen inventory, cleaning standards, common areas, conference rooms, collaboration spaces, and overall site appearance.
  • Coordinate facilities services with vendors, landlords, and property management teams, including maintenance requests, service scheduling, vendor relationships, and ensuring building standards are maintained.
  • Support financial and administrative processes using ERP systems (SAP, NetSuite, Ariba), including vendor setup, purchase orders, invoice processing, approval workflows, scope of work tracking, and maintaining accurate cost records.
  • Maintain facilities databases, documentation, and tracking systems including operating manuals, floor plans, visitor access systems, work orders, seating plans, parking permits, bike lockers, vendor insurance records, and employee facility programs.
  • Coordinating employee workplace needs include new hire seating assignments, internal moves, workspace changes, access management, and collaboration with Facilities and IT teams.
  • Support health, safety, and security initiatives by participating in safety committees, coordinating evacuation drills, maintaining first aid certification, and promoting a safe workplace environment.
  • Plan and support workplace events, meetings, and catering activities, including conference room coordination, event setup and teardown, landlord approvals, and ensuring a high-quality employee experience.
  • Identify facility improvement opportunities, resolve operational issues, support special projects, maintain inventory levels, and provide ongoing assistance to the Facilities team to deliver best-in-class workplace operations.
