Requirements

  • Working knowledge of inventory control, purchasing processes, and vendor management.
  • Strong organizational and project coordination skills.
  • Ability to manage multiple assignments and changing priorities.
  • Strong communication and customer service skills.
  • Ability to build and maintain effective working relationships with vendors, contractors, and internal departments.
  • Experience coordinating repairs, maintenance activities, and service providers.
  • Proficiency with Microsoft Office, including Excel, Outlook, Word, and Teams.
  • Ability to maintain accurate records, reports, and documentation.
  • Strong attention to detail and follow-through.
  • Ability to analyze information and identify opportunities for process improvement.
  • Basic understanding of manufacturing operations, facility systems, and maintenance practices preferred.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent required.

Nice To Haves

  • Associate degree in Business Administration, Facilities Management, Supply Chain, or related field preferred.
  • Experience in a manufacturing environment preferred.
  • Experience working with vendors, contractors, and service providers preferred.
  • Bilingual English/Spanish preferred.

Responsibilities

  • Coordinate procurement of production tools, maintenance equipment, and facility-related materials.
  • Maintain inventory records for production tools, maintenance equipment, spare parts, and facility supplies.
  • Monitor inventory levels and initiate replenishment requests to prevent operational disruptions.
  • Track company-owned tools and equipment and maintain asset records.
  • Coordinate warranty claims and repairs for production equipment, maintenance tools, facility equipment, and company assets.
  • Serve as the primary contact for vendors performing repairs, maintenance, inspections, and facility services.
  • Assist with vendor onboarding, insurance documentation, service agreements, and purchase order coordination.
  • Schedule and coordinate contractor activities to support facility improvement projects and maintenance repairs.
  • Track open work orders, service requests, and project status to ensure timely completion.
  • Follow up with vendors, contractors, and internal departments regarding project schedules and completion dates.
  • Maintain maintenance records, repair history, warranty documentation, and vendor files.
  • Coordinate rental equipment and temporary service providers as needed.
  • Assist with obtaining quotes, proposals, and pricing from vendors and contractors.
  • Support budgeting activities by tracking repair expenses, service costs, and equipment purchases.
  • Generate reports related to inventory, tool utilization, vendor performance, and facility expenditures.
  • Maintain verbal and written communication with supervisors, managers, vendors, and contractors regarding project status and operational needs.
  • Support compliance with company safety policies and contractor safety requirements.
  • Participate in department meetings and provide administrative support to the Facilities and Maintenance teams.
  • Perform additional duties as assigned by management.
