About The Position

Olo is seeking a highly organized and execution-focused Sr. Event Marketing Coordinator to lead, plan, strategize, and deliver integrated online and offline marketing events. This role is critical in driving cross-functional alignment, managing timelines, coordinating vendors, and ensuring seamless execution of high-impact marketing programs. The position reports to the Head of Product Marketing and collaborates with DemandGen and Brand Marketing teams. This is a non-exempt role that can be performed remotely from anywhere in the U.S. or at Olo's headquarters in NYC.

Requirements

  • 3+ years of experience in project management, marketing coordination, or event execution (preferably in B2B SaaS or tech).
  • Strong project management, organizational, communication, and time management skills with the ability to manage multiple projects simultaneously.
  • Experience supporting and running webinars, virtual events, and/or tradeshows.
  • Experience supporting and running large-scale events or customer conferences.
  • Excellent communication skills, both written and verbal.
  • Experience executing customer marketing and customer communications.
  • Ability to work cross-functionally and manage multiple stakeholders.
  • Detail-oriented with strong follow-through and problem-solving abilities.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Familiarity with marketing automation, webinar, and project management platforms (e.g., HubSpot, Optimizely, Zuddl, CVENT).

Nice To Haves

  • Experience in B2B SaaS, especially in restaurant technology, payments, or marketing platforms strongly preferred.
  • Core understanding of demand generation and campaign strategy is strongly preferred.

Responsibilities

  • Lead the orchestration and execution of virtual events, webinars, industry events, and customer conferences.
  • Manage integrated campaigns for quarterly product releases and release activations across product and GTM functions.
  • Act as the central point of project coordination across marketing, sales, product marketing, and external vendors.
  • Support internal and external communication to ensure all stakeholders are aligned on timelines, deliverables, and expectations.
  • Oversee logistics, including scheduling, asset tracking, vendor coordination, invoice management, and event execution details.
  • Develop and monitor project progress, identify risks, and ensure deadlines are met.
  • Manage post-event and campaign reporting by coordinating data collection and stakeholder feedback.
  • Create and develop detailed project playbooks with timelines, milestones, and dependencies.
  • Execution of webinars, release orchestration, and virtual events.
  • Develop and execute customer communications around events, product updates, and release engagements.
  • Provide end-to-end support for industry events and trade shows (logistics, materials, vendor coordination).
  • Planning and execution support for the annual customer conference.
  • Drive alignment across demand generation, product marketing, brand, sales, partnership teams, and external partners.
  • Provide regular project status updates and stakeholder communications.
  • Ensure clear documentation of roles, responsibilities, and deadlines.
  • Coordinate with external vendors (event agencies, platforms, production teams, etc.).
  • Track deliverables and ensure vendor timelines are met.
  • Support budget tracking and invoice coordination.
