About The Position

Provide advanced operational guidance throughout the partner-office transition process and serve as a senior subject matter expert. Support Transition Operations Consultants as a first-level escalation resource, helping resolve complex issues and coordinate transition activities. Collaborate with advisors, office staff, custodians, third-party providers, and internal departments to deliver a consistent, efficient onboarding experience. Develop and improve workflows, document best practices, and strengthen the accuracy and consistency of transition operations. Lead assigned projects and workstreams to support timely completion of operational responsibilities and improve scalability.

Requirements

  • Minimum of four years of experience in financial services operations, advisor transitions, or account operations required.
  • Experience serving as an operational subject matter expert or escalation resource and leading cross-functional projects or process improvements required.
  • Advanced knowledge of transition operations, account-opening processes, and financial services operational workflows required.
  • Strong knowledge of advisory custodian products, procedures, forms, and operational requirements required.
  • Proficiency with Salesforce, DocuSign, and related operational platforms required.
  • Strong project-management, organizational, prioritization, and follow-through skills, including the ability to manage multiple assignments and changing deadlines, required.
  • Strong analytical, critical-thinking, and problem-solving skills, including the ability to assess complex issues and develop practical solutions, required.
  • Strong written and verbal communication skills, including the ability to explain complex operational matters to advisors, staff, and internal stakeholders, required.
  • Ability to coach, mentor, and serve as a resource to less-experienced team members required.
  • Ability to identify process gaps and develop improvements that increase accuracy, efficiency, and consistency required.
  • Ability to work independently, exercise sound judgment, and collaborate effectively across departments required.
  • Ability to maintain accuracy, attention to detail, and service quality under pressure required.
  • Ability to learn and adapt to new software, systems, products, and operational requirements required.

Nice To Haves

  • Bachelor’s degree in business administration, accounting, finance, or a related field preferred.
  • FINRA securities licenses, such as Series 7 and/or Series 66, preferred.
  • Experience working with Charles Schwab, Fidelity, or Pershing preferred.

Responsibilities

  • Serve as a senior operational subject matter expert throughout the transition process, from initial onboarding through completion.
  • Provide guidance, troubleshooting, and first-level escalation support to Transition Operations Consultants.
  • Assess complex issues, develop action plans, coordinate resolution, and escalate when appropriate.
  • Coordinate transition responsibilities across internal departments, custodians, third-party providers, advisors, and partner-office staff.
  • Maintain a comprehensive understanding of operational requirements and dependencies across departments.
  • Take ownership of assigned activities when a partner office officially joins Carson and ensure required responsibilities are completed.
  • Work with custodians to monitor paperwork, account-opening activities, and transfer statuses.
  • Review paperwork prepared by third-party providers and identify potential issues before they affect transition timelines.
  • Maintain knowledge of applicable custodian products, procedures, forms, and operational requirements.
  • Support case management, Salesforce and DocuSign reporting, resolution of paperwork that is not in good order, and other operational tracking activities.
  • Serve as a DocuSign subject matter expert and troubleshoot system issues.
  • Monitor transition progress, identify risks and barriers, and communicate status and recommended actions to management and stakeholders.
  • Present and support recurring transition meetings and training sessions covering operational processes, systems, paperwork, and best practices.
  • Coach and guide less-experienced team members.
  • Work with internal departments to remain current on new products, procedures, systems, and operational requirements.
  • Develop, review, document, and improve operational workflows to increase efficiency, accuracy, consistency, and scalability.
  • Collect and share best practices across partner-office transitions and incorporate successful approaches into standard processes.
  • Lead assigned projects and workstreams by establishing timelines, coordinating stakeholders, tracking deliverables, and communicating progress.
  • Ensure follow-up, accountability, and completion of responsibilities across internal and external stakeholders.
  • Provide responsive, professional service to partner offices, advisors, staff, custodians, and internal stakeholders.
  • Collaborate across departments to achieve transition goals and maintain service quality.
  • Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives.
