About The Position

Support new partner offices through the transition process and serve as a primary operational contact throughout the transition period. Coordinate operational activities, prepare and review account paperwork, and track progress to ensure transition responsibilities are completed accurately and on time. Provide training and guidance on operational processes, technology, and tools used during the transition. Partner with advisors, their staff, internal departments, and custodians to identify and resolve issues. Contribute to an efficient, consistent onboarding experience through responsive service and process improvement.

Requirements

  • Proficiency with Microsoft Office, including Word, Excel, and Outlook, required.
  • Ability to learn and effectively use new software, proprietary systems, and operational tools required.
  • Strong attention to detail and commitment to accuracy in a high-volume operational environment required.
  • Strong planning, organizational, time-management, and follow-through skills, including the ability to manage multiple priorities and deadlines, required.
  • Strong written and verbal communication skills, including the ability to explain operational processes clearly, required.
  • Strong problem-solving and critical-thinking skills, including the ability to troubleshoot issues and recognize when escalation is needed, required.
  • Ability to work independently and collaborate effectively with advisors, office staff, custodians, and internal stakeholders required.
  • Ability to maintain service quality and accuracy under pressure and changing requirements required.
  • Strong service orientation and interest in the financial services industry required.
  • Ability to travel to transitioning partner offices, potentially up to approximately 50% depending on business needs, required.

Nice To Haves

  • Bachelor’s degree in business administration, accounting, finance, or a related field preferred.
  • FINRA securities licenses or completion of the Securities Industry Essentials (SIE) examination preferred.
  • Experience in operations, client service, or a general office environment preferred, particularly within the financial services industry.
  • Working knowledge of financial advisor office tools and systems, such as Salesforce, DocuSign, and Orion, preferred.
  • Working knowledge of advisory custodians, including Charles Schwab and Fidelity, preferred.

Responsibilities

  • Serve as a primary operational contact for assigned transitioning partner offices.
  • Coordinate responsibilities across internal departments, manage assigned tasks and timelines, and ensure appropriate follow-up and completion.
  • Balance multiple priorities and changing requirements to support transition goals.
  • Serve as an operational subject matter expert on paperwork, policies, and procedures during the transition period.
  • Gather required information and prepare, review, and process documentation to open or maintain client accounts according to advisor, partner-office, and custodian requirements.
  • Maintain working knowledge of applicable custodian products, procedures, and forms.
  • Present and support training and recurring transition meetings covering operational processes, systems, and paperwork.
  • Provide guidance on internal and external software and tools used during the transition.
  • Travel to partner offices as needed to support operations staff with paperwork, questions, training, and transition activities.
  • Research account and operational issues in collaboration with custodians and internal departments.
  • Identify potential issues early, troubleshoot within established guidelines, and coordinate resolution.
  • Escalate complex issues appropriately and communicate outstanding needs to relevant stakeholders.
  • Create, maintain, and monitor Salesforce reporting and other tools used to track transition progress and outstanding activities.
  • Communicate status, key activities, risks, and unresolved items to management and stakeholders.
  • Identify opportunities to improve transition processes, increase accuracy, and streamline operational activities.
  • Provide responsive, professional service to partner offices, advisors, staff, and internal stakeholders.
  • Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives.
