About The Position

Temple University's Beasley School of Law is searching for a Sr Administrative Specialist to join their team. This role is responsible for coordinating the communications and activity of the Law School Office of Student Affairs. The Sr. Administrative Specialist will serve as the primary contact for the department, handling walk-in and email inquiries, and providing accurate information on all functions of student affairs and student records. The position will offer administrative support to the Assistant Dean and Directors, assisting with academic initiatives, operations, exams, correspondence, record keeping, and wellness initiatives. The individual will need a thorough understanding of department, law school, and university procedures to communicate them effectively to faculty, staff, and students. Key responsibilities include coordinating wellness initiatives, managing internal and external records, maintaining the office calendar, and assisting with student-facing programs like orientation, registration, exam administration, and commencement. The successful candidate will be able to identify student needs and demonstrate sensitivity in difficult situations. Other duties may be assigned.

Requirements

  • At least three (3) years of directly related administrative experience.
  • Experience effectively communicating with internal and external constituents.
  • Demonstrated customer service experience.
  • Experience scheduling and supporting events and meetings.
  • Demonstrated computer skills to include Microsoft Office Suite including Word and Excel and PowerPoint.
  • Strong customer service skills with the ability to effectively interact with a diverse group of students, faculty, and staff.
  • Demonstrated organizational skills with the ability to work independently and prioritize tasks.
  • Demonstrated strong attention to detail and accuracy and the ability to plan and execute programs under a deadline.
  • Excellent organizational, communication and interpersonal skills.
  • Must have the ability to work independently on projects.
  • Ability to work on nights and/or weekends, if necessary.

Nice To Haves

  • Bachelor’s degree.

Responsibilities

  • Coordinating the communications and activity of the Law School Office of Student Affairs.
  • Serving as the primary contact for the department and the first point of contact for direct walk-in and email inquiries.
  • Delivering accurate and timely information and being knowledgeable in all functions of student affairs and student records.
  • Providing office assistance, tracking initiatives, following up on deadlines, organizing student data, and drafting communication on behalf of the office.
  • Providing a high level of administrative support to the Assistant Dean and Directors in the department as it relates to academic initiatives, academic operations, exams, correspondence, record keeping, and wellness initiatives.
  • Coordinating the law school wellness initiatives.
  • Managing a large volume of internal and external records.
  • Managing the office calendar and activities.
  • Assisting in all aspects of student-facing programming such as orientation, registration, exam administration, and commencement.
  • Performing other duties as assigned.
