About The Position

Provides comprehensive executive administrative support to the Vice President of Enterprise Environmental, Occupational Health & Safety (EOHS). The role manages a complex calendar, travel, meeting logistics, executive materials, presentation support, expense reporting, and day-to-day administrative coordination for a VP leading an enterprise function. This position requires exceptional organization, sound judgment, discretion, responsiveness, and the ability to manage competing priorities in a fast-paced, highly matrixed environment. The Senior Administrative Assistant regularly interacts with executive leaders, business segment leaders, functional partners, and internal and external stakeholders across the organization.

Requirements

  • 5+ years of executive administrative support experience, including support for a vice president, senior vice president, or comparable executive leader
  • Advanced proficiency in Microsoft Outlook, PowerPoint, Word, Teams, and Excel
  • Demonstrated experience managing complex calendars, travel, meeting logistics, and expense reporting
  • Proven solid written communication, proofreading, organization, and time-management skills
  • Ability to exercise discretion and appropriately handle confidential or sensitive information
  • Ability to work independently, manage frequent changes, and deliver high-quality work under tight deadlines

Responsibilities

  • Manage a complex executive calendar with frequent changes, competing priorities, and time-sensitive requests
  • Coordinate meetings across executive leaders, business segments, functional partners, and external stakeholders
  • Prioritize meeting requests, identify conflicts, and make scheduling recommendations that optimize executive time
  • Build appropriate preparation, travel, and transition time into the calendar
  • Confirm meeting purpose, participants, logistics, and required materials in advance
  • Arrange domestic and international travel, including air, hotel, ground transportation, and detailed itineraries
  • Manage travel changes, disruptions, and last-minute adjustments with urgency and sound judgment
  • Coordinate logistics for leadership meetings, offsites, site visits, and special events
  • Ensure travel documentation, meeting materials, contact information, and schedules are complete and accessible
  • Partner with internal travel resources and vendors to resolve issues and support policy-compliant arrangements
  • Prepare agendas, meeting materials, briefing packets, and supporting documents
  • Attend selected meetings to capture concise notes, decisions, owners, and action items
  • Distribute meeting summaries and maintain follow-up tracking as directed by the executive
  • Coordinate recurring leadership team meetings and maintain the annual meeting cadence
  • Protect confidential and sensitive information discussed in executive and leadership forums
  • Create, edit, format, and quality-check PowerPoint presentations for executive and leadership audiences
  • Compile content from multiple contributors and organize it into clear, consistent presentation materials
  • Apply approved templates, formatting standards, and visual consistency across executive deliverables
  • Proofread presentations, agendas, communications, and briefing materials for accuracy and professionalism
  • Maintain current versions of frequently used presentations, biographies, organizational information, and meeting materials
  • Prepare and submit timely, accurate expense reports, including receipt collection, coding, and reconciliation
  • Reconcile corporate card transactions and follow up on missing documentation or disputed charges
  • Process invoices, purchase requests, meeting expenses, and other administrative transactions as assigned
  • Maintain organized electronic records in accordance with company requirements
  • Support routine administrative activities, including distribution lists, correspondence, document coordination, and supply or equipment requests
  • Monitor and triage incoming meeting requests, correspondence, and administrative needs
  • Serve as a professional point of contact for leaders, employees, external partners, and visitors
  • Coordinate follow-up on executive commitments and administrative action items
  • Anticipate needs, surface conflicts early, and resolve routine issues independently
  • Provide backup or coordinated support with other executive assistants when leadership schedules and events intersect
