The company is seeking a highly professional and detail-oriented Sr. Administrative Assistant to provide comprehensive support to C-Suite executives and ensure smooth day-to-day operations in their Dallas office. This role requires exceptional organizational skills, discretion, and the ability to engage confidently with internal and external senior-level stakeholders, including investors, board members, and executive leaders from partner organizations. In addition to executive support, this individual will assist with general office administration, collaborating closely with the Office Manager to maintain a welcoming and efficient workplace. This is a fully in-office position, requiring presence in the o9 office during normal business hours.

Requirements

  • 5+ years of experience as an Administrative Assistant or similar.
  • 1+ year of experience supporting C-Suite executives.
  • Experience in a fast-paced, professional environment.
  • Proven experience interacting with external senior stakeholders (investors, board members, or client executives).
  • Strong written and verbal communication skills with exceptional attention to detail.
  • High level of integrity and ability to handle confidential information.
  • Advanced proficiency with Microsoft Office Suite and/or Google Workspace tools.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Professional, proactive, and approachable demeanor; thrives in a collaborative team environment.

Responsibilities

  • Provide administrative support to C-Suite executives, including calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Serve as a primary point of contact for internal and external senior stakeholders, demonstrating professionalism and discretion at all times.
  • Coordinate meetings with investors, board members, and external partners, including managing complex scheduling and logistics.
  • Prepare and edit correspondence, communications, and presentations on behalf of executives.
  • Ensure confidentiality in handling sensitive information and executive communications.
  • Support the Office Manager with administrative and facility-related tasks, including office supplies, vendor coordination, and meeting setup.
  • Serve as a reliable on-site presence to support day-to-day office operations and assist with internal events or meetings as needed.
