We are hiring for a Sr. Administrative Assistant to support the Co-Heads, Global Strategic Marketing & Research, and Head of Marketing Analytics & Insights with daily administrative and project support. Requirements

  • BA required
  • 1-2 years’ experience as an administrative assistant
  • Strong computer skills (Microsoft Suite)
  • Good math/finance and general business competency
  • Exceptional organizational and interpersonal skills
  • Must be detail-oriented
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Must be able to meet deadlines
  • Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
  • Common sense, dependability, discretion and attention to detail are required
  • Must be a self-starter with a team-player attitude.
  • Excellent communication skills – written and oral, able to deal with and adapt to different personalities and work styles.
  • Must have a professional and courteous demeanor

  • Interest in movies, entertainment, pop culture, and market research & analytics highly desired

Responsibilities

  • Scheduling and preparing for meetings and handling calendars for three executives (including general calendaring as needed for two teams)
  • Processing purchase orders, managing business expenses, and personal expense reports
  • Create and maintain an organizational system to keep track of POs and their status in case of errors or revisions
  • Maintain correspondence with vendor billing teams
  • Managing document flow, including creating and maintaining files (electronic and hard copy)
  • Other general administrative duties (processing mail, copying, supplies ordering, etc.)
  • Handling phone calls
  • Updating databases and lists
  • Managing executive travel
  • Miscellaneous duties as required
  • Interface and work with internal and external stakeholders to facilitate meetings, events, etc.
  • Onboarding new hires for both teams
