About The Position

The Senior Administrative Assistant – Advisor Group provides high-level administrative and operational support in a dynamic, fast-paced environment to Area Vice Presidents and/or front-line field leaders (typically 2–3) and the broader Advisor Group (TAG). This role requires exceptional organizational agility, proactive problem-solving, and the ability to manage competing priorities while ensuring leaders can focus on strategic objectives. This can be a remote position. However, our ideal candidate will need to reside within 30 miles of Grand Rapids or Chesterfield, MI area. There will be periodic travel to our office or events.

Requirements

  • 3 or more years of administrative/secretarial experience supporting multiple leaders or teams in a fast-paced environment
  • Advanced business computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook; ability to learn additional tools quickly (e.g., Teams, Salesforce, Zoom)
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information and exercise sound judgment
  • Strong organizational and project management skills
  • Excellent communication and interpersonal skills

Nice To Haves

  • Two-year degree from business or vocational school desired

Responsibilities

  • Provide s day-to-day administrative support to multiple field leaders, including email and calendar management, travel arrangements, submitting expense reports and other key responsibilities as assigned.
  • Manages these tasks in a high-volume, deadline-driven environment requiring frequent reprioritization.
  • Ensure s leaders can focus on their key jobs to be done and execute s on plans for their model week/service models by thinking and acting proactively; use systems to assist them in managing calendar, tracking relationships, monitoring joint field work, prioritizing email and other incoming tasks.
  • Demonstrates ability to anticipate needs and adjust plans quickly in response to changing priorities.
  • Collaborate s with leaders and partners in the Capacity Growth and Development Center of Excellence to organize candidate pipeline activities; this includes contacting candidates with reminders on interview materials or other key information, submitting recruiting forms, scheduling interviews, sharing information with team members, ensuring leader coverage of appointments, and serving as a key contact for candidates on behalf of the leader as they move through selection and launch.
  • Provide s end-to-end planning and support for small events and meetings, including AV/technical, location, catering, RSVP management, etc.
  • Collaborate with TAG operations team leaders to support larger event planning needs as requested .
  • Establish es and maintain s efficient office management processes; perform s routine administrative duties such as maintaining office supplies, processing mail, handling vendor expenses and other needs of the Advisor Group (TAG) related to the physical location (as applicable) .
  • Appropriately complete documentation in accordance with standards/requirements.
  • Prepare s meeting agendas and materials, maintain s meeting notes, and arrange s for implementation of action and follow-up items.
  • Ensures timely follow-through on critical deliverables in a fast-paced setting.
  • Relieve s leaders of administrative tasks such as updating data, understanding reports and creating documents, ensuring information is accurate and timely .
  • Respond s to information requests and composes correspondence on a regular basis (often of a confidential nature).
  • Maintain s a high level of professionalism and strong relationships when interacting with candidates, advisors, leaders and other key stakeholders across the organization.
  • Support s other projects, programs, and processes as needed.

  • Field Leaders : proactively determine gaps/needs in leader activity; raise them to leader and assist in the plan to adjust .
  • Understand priority of meeting requests and leader preferences and adjust calendar a ccording ly.
  • Operations Staff : Collaborate and consult with LGO, AGSM, AGC and other SAAs to support the work of field leaders , Areas/ TAG and related meetings/events ; provide insights to each other, share best practices to improve processes and efficiency.
  • COEs : Work in partnership to support recruiting efforts of field leaders, providing insights and information as needed ; understand the complexities and urgency of the selection process and act accordingly.
  • Candidates : Provide assistance to and build relationships with candidates to provide information and welcome them throughout the selection process and as they begin the ir career with Thrivent .
