About The Position

Serves as the administrative support coordinator for Shareholder Services. Partners closely with the Director Finance – Shareholder Services and the Family Council Chair to ensure meetings, retreats, communications, and governance processes run smoothly. Provides continuity across changing Family Council leadership, supports effective coordination with consultants and family governance groups, maintains administrative and digital infrastructure, and serves as the primary point of contact for family members' logistical and administrative needs.

Requirements

  • Previous experience at Kohler Co. ideally in a senior confidential administration support role.
  • Maintains strict confidentiality and exercises sound judgment when managing sensitive and confidential information.
  • High attention to detail and a thorough approach to ensure accurate, complete, and high-quality deliverables.
  • Excellent verbal and written communication skills.
  • Strong partnership-building capabilities that support organizational goals and outcomes.

Responsibilities

  • Coordinate logistics for Family Council, Family Assembly, Family Trustee, Family Enterprise, Stewardship Trust and other committees and/or meetings.
  • Coordinate logistics for family retreats (full family and generation-specific): Book venues in Kohler or other locations, Arrange catering, meeting spaces, audiovisual needs, and materials, Coordinate travel and lodging as appropriate.
  • Schedule meetings with family members, advisors, consultants, and external partners.
  • Manage calendars, meeting invitations, RSVPs, and reminders.
  • Serve as the primary administrative liaison between the Family Council Chair, Family Trustees, Shareholder Services, and Consultants (if assigned).
  • Coordinate communications with consultants and facilitate scheduling, document sharing, and follow-up.
  • Respond to family members' logistical questions and direct inquiries to the appropriate person when needed.
  • Provide administrative support to Shareholder Services.
  • Support the Family Council Chair in maintaining momentum on ongoing initiatives.
  • Track action items, deadlines, and follow-up responsibilities (if assigned).
  • Help preserve continuity during leadership and membership transitions.
  • Maintain governance calendars (meeting schedule, annual events, retreat planning timelines, etc.).
  • Prepare and distribute materials, agendas, and minutes for all family meetings (if assigned).
  • Maintain records and archives of documents when appropriate.
  • Maintain all digital infrastructure, including: Slack, Google Drive, Zoom, Boardvantage, Other governance platforms.
  • Manage user access, permissions, subscriptions, and basic troubleshooting.
  • Ensure governance documents are organized and accessible.
  • Liaise with Shareholder Services regarding Council funding and expense processes.
  • Coordinate budgets, invoices, reimbursements, and payments as needed.
  • Track retreat and meeting expenses and assist with administrative reporting.
  • Serve as the first point of contact for logistical questions regarding: Meetings and events, Travel arrangements, Boardvantage and other governance platforms, Access to governance documents, Technology for virtual meetings.
  • Help onboard new Family Council members by ensuring they have the necessary materials, accounts, and information.
