Requirements

  • High school diploma required.
  • 3+ years applicable work experience in Administrative Assistant or similar.
  • Proficient in Microsoft Office Suites such as Outlook, SharePoint, Word, Excel, PowerPoint, OneNote, etc., with a drive to stay current in and continuously develop these skills.
  • Experience managing calendars, meeting coordination, and travel
  • Strong attention to detail and organization.
  • Proven track record of maintaining high integrity and confidentiality.

Nice To Haves

  • Experience supporting multiple leaders.
  • Experience with tradeshow coordination and event planning.
  • Experience supporting new hire onboarding/partnership with training. team and scheduling introductions, and related activities.

Responsibilities

  • Provide dedicated coordination and strategic support for an executive and associated teams, working collaboratively to understand shifting priorities
  • Coordinate both in-person and virtual meetings & special events (logistics, agendas, meeting support, meeting minutes, meals, electronic platforms & AV coordination, travel coordination, facility and/or venue scheduling, etc.)
  • Collects, compiles, and analyzes moderately complex data and information utilized in management decision making, reports, or presentation materials
  • Organizes and manages leadership team calendars, providing responses for routine communications on behalf of executive
  • Manages expense reporting for leadership team
  • Prepares and composes routine and ad hoc correspondence, prepares reports and manages special projects as directed (e.g. SharePoint migration, United Way campaign, award administration, etc.)
  • Manage office supplies (ordering, inventory control)
  • Organize and manage distribution lists and organization charts
  • Assist and support with coordination/onboarding of new employees
  • Develop strong network and partnerships; leverage partnerships with your teammates to move business processes forward and work effectively as part of a team
  • Professionally represent Donaldson as administrative liaison with others outside the company
