Requirements

  • 4 years of relevant work experience.
  • High School Diploma or GED.
  • Knowledge, adherence, and application of human resources policies and procedures.
  • Ability to access information from databases and prepare reports (Ad Hoc Reporting - Intermediate).
  • Ability to analyze data accurately (Data Analysis - Intermediate).
  • Proficiency in clerical/administrative functions including Ad Hoc Reporting, Calendar Maintenance, Data Entry, Document Duplication, Document Filing and Maintenance, Document Preparation, Employee Record Maintenance, Employee Time Recording, Faxing and Electronic Mailing, Inventory Management, Mail Sorting and Distribution, Meeting Coordination and Scheduling, Message Management, Receptionist Tasks, Special Projects, Spreadsheet Preparation, Travel Arrangements, and Word Processing and Typing (Clerical/Administrative - Intermediate).
  • Ability to monitor costs, expenses, and revenue and manage them in relation to budgeted amounts (Financial Processes - Novice).

Responsibilities

  • Performs administrative support, including scheduling, booking travel, and budget reconciliation.
  • Creates and maintains data/records for financial, planning, correspondence, procedures, and processes.
  • Compiles data, analyzes information, and summarizes findings.
  • Prepares reports and other documentation as requested.
  • Creates expense reports and submits reimbursements for faculty members.
  • Orders business cards, office supplies, jackets, and lab coats as needed.
  • Assigns faculty members to holidays and creates holiday schedules.
  • Creates call schedules and conference meeting schedules.
  • Schedules faculty members' daily clinical assignments and reviews/edits schedules.
  • Reviews faculty members' time off requests.
  • Coordinates and schedules meetings and conference meetings for faculty members.
  • Assists with faculty credentialing and reappointments.
  • Updates and maintains CVs.
  • Ensures faculty members complete variable compensation requirements.
  • Runs quarterly work total reports to ensure faculty members meet required days worked.
  • Revises/edits documents for faculty members.
  • Faxes, copies, and prints documents.
  • Distributes mail.
  • Records and takes meeting minutes.
  • Attends weekly and monthly admin meetings.
  • Works in conjunction with other AAs when tasks crossover.
  • Coordinates faculty candidate interviews with the Section Chief & Chair’s Assistant.
  • Onboards new faculty members following the ‘New Faculty Onboarding Checklist’.
  • Assists with occasional department/employee engagement events.
  • Communicates with IT & Facilities Management on behalf of faculty members for issue resolution.
  • Maintains confidentiality and integrity of faculty members' personal information.
