About The Position

Fort Bend County is seeking a Sr. Administrative Assistant to join the Behavioral Health Services team. This role is responsible for a variety of administrative tasks to support the department's operations and ensure efficiency. Requirements

  • High School Diploma/GED.
  • 2 years of job-related experience.
  • Ability to work with individuals who are justice involved and/or with a Mental Health condition(s).
  • Strong computer and typing skills.
  • Experience with word processing, Excel spreadsheets, database management, personal computer and mainframe computer.
  • Ability to interact and deal effectively with other employees, public, and public officials.
  • Strong organizational skills.
  • Ability to communicate verbally and in writing.
  • Mental Health First Aid Training completed within 6 months of hire.

Responsibilities

  • Processing purchasing requisitions, compiling documentation, ensuring accuracy, and maintaining department inventory.
  • Maintaining an expenditure tracking Excel spreadsheet.
  • Communicating with and responding to inquiries from clients, families, courts, other departments, and the community via email, phone, and directing calls.
  • Maintaining BHS information materials.
  • Monitoring and maintaining department administrative forms.
  • Client sign-in and reporting, and reviewing forensic files.
  • Assisting with preparation for staff meetings.
  • Contributing to administrative and operational efficiency in workflow and processes.
  • Assisting with preparation of community outreach and training activities.
  • Responding to orders generated by magistrate courts, compiling assessments, and filing assessments within the required timeline (as a backup).
  • Using Odyssey and other appropriate systems to research court cases, medical, educational, and other requested information (as a backup).
  • Managing and auditing departmental files.
  • Organizing and tracking department calendars in Microsoft Outlook and Teams.
  • Coordinating public meetings, hybrid/virtual sessions, and community events.
  • Processing and tracking requisitions.
  • Assisting with digital filing systems, correspondence, and departmental workflow.
  • Processing and tracking facility, IT, and/or other work orders as assigned.
  • Assisting with scheduling and tracking meeting room requests.
  • Performing other duties as assigned to support the effective and efficient functioning of Behavioral Health Services operations.
  • Participating in activities and duties related to emergency management during a local state of disaster as directed.
