About The Position

Hartford HealthCare is seeking an Administrative Associate II to provide comprehensive secretarial, clerical, and administrative support to the Natchaug Hospital's Journey House program. This role requires creativity, independent judgment, and confidentiality to ensure the needs of internal and external customers are met. The position involves documentation in EPIC and other hospital computer programs, contributing to the efficient operation of the department by preparing reports, managing data entry, maintaining records, and handling inquiries. The role also requires demonstrating age-specific competencies for pediatric and adolescent patients.

Requirements

  • High School Diploma or equivalent required
  • One to Two years previous administrative support experience
  • Requires the ability to exercise discretion and use good judgment to perform duties promptly and consistently
  • Ability to read and understand oral and written instructions, and effectively communicate information
  • Advanced computer skills related to office applications, email, internet and hospital computer programs
  • Ability to maintain confidentiality at all times

Nice To Haves

  • Additional education preferred
  • Working knowledge of EPIC preferred

Responsibilities

  • Provide efficient, accurate, and timely administrative support through the preparation of a variety of reports and correspondence.
  • Perform varied data entry into established spreadsheets and databases, potentially modifying them based on existing formats with approval.
  • Ensure the validity of data and outputs, and reconcile differences.
  • Use information to produce reports.
  • Complete and maintain standard records/forms/logs according to detailed procedures.
  • Maintain appointment calendars and schedule appointments.
  • Provide clerical support such as maintaining unit files in a complete, accurate, and timely fashion in accordance with the standards of the work area.
  • Suggest changes to the system to meet changing needs.
  • Respond to questions and requests for information, and resolve problems by gathering information and using thorough knowledge and understanding of own work area and others.
  • Handle inquiries directly or forward to the appropriate person.
  • Initiate communications regarding assigned responsibilities and other routine matters.
  • Know when to refer to a higher authority.
  • Demonstrate competencies, including knowledge and behaviors, to meet age-specific patient needs (e.g. Pediatrics, Adolescents).
