About The Position

Under the direction of the Sports Director, Sports Manager, and Membership Director, the Sports Lead / Building Administrator serves as the operational leader for YMCA Sports and facility operations during assigned shifts. This position oversees the daily operations of youth sports programming while serving as the Leader on Duty for facilities, participants, members, staff, volunteers, and guests. The Sports Lead / Building Administrator is responsible for maintaining a safe, welcoming, and organized environment while ensuring exceptional program quality, outstanding customer service, and operational excellence. This role provides leadership to sports staff, volunteer coaches, officials, and scorekeepers; supports membership and facility operations as needed; responds to emergencies and member concerns; ensures compliance with YMCA policies and risk management practices; and supports the continued growth of YMCA sports programming. As a highly visible representative of the YMCA, this individual serves as a bridge between the Sports and Membership departments, ensuring seamless branch operations while creating exceptional experiences for members, participants, volunteers, and guests. Requirements

  • High School Diploma or equivalent required.
  • Minimum of 2 years of experience in youth sports, recreation, customer service, facility operations, leadership, community programming, and volunteer development preferred.
  • CPR, First Aid, and AED certification required within 90 days of hire.
  • Ability to work a flexible schedule, including evenings, weekends, and holidays.
  • Ability to supervise multiple activities simultaneously in a fast-paced environment.
  • Strong conflict resolution and problem-solving skills.
  • Ability to remain calm and professional during emergencies.
  • Proficiency in Microsoft Office, Outlook, Teams, Excel, and Daxko or similar membership management software.
  • Strong organizational skills and attention to detail.
  • Commitment to the YMCA mission and core values.
  • Ability to stand, walk, bend, kneel, stoop, and move throughout indoor and outdoor facilities for extended periods.
  • Ability to lift, carry, and transport equipment weighing up to 50 pounds.
  • Ability to quickly respond throughout the facility during emergencies.
  • Ability to perform CPR, First Aid, and AED procedures.
  • Ability to work indoors and outdoors in varying weather conditions.
  • Sufficient vision, hearing, and communication skills to supervise activities, monitor safety, and communicate effectively with members, participants, and staff.

Responsibilities

  • Serve as the Leader on Duty during assigned youth sports programming and facility operations.
  • Oversee leagues, practices, clinics, camps, tournaments, and special events.
  • Assist with planning, organizing, scheduling, and execution of sports programming.
  • Create, organize, and implement age-appropriate curriculum that teaches foundational sports skills and promotes YMCA values.
  • Support the development, growth, and retention of YMCA sports participants.
  • When needed, officiate or coach youth sports including soccer, basketball, flag football, volleyball, or other YMCA sports offerings.
  • Provide day-to-day leadership, coaching, and support to Sports Attendants, Scorekeepers, Officials, and Volunteers.
  • Assist with onboarding, training, scheduling, and mentoring sports staff.
  • Assist recruit, train, support, and recognize volunteer coaches.
  • Conduct volunteer coach observations to ensure YMCA curriculum, coaching philosophy, safety standards, and sportsmanship expectations are consistently implemented.
  • Foster a culture of teamwork, accountability, inclusion, and exceptional customer service.
  • Serve as the Building Administrator/Leader on Duty during assigned shifts.
  • Conduct routine inspections of gyms, fields, locker rooms, storage areas, and program spaces.
  • Monitor all service areas to ensure a safe, clean, welcoming, and inclusive environment during operating hours.
  • Enforce YMCA policies, facility rules, and the Member Code of Conduct.
  • Identify maintenance issues and communicate facility needs promptly.
  • Maintain inventories and oversee proper use, maintenance, and storage of sports equipment.
  • Ensure facilities are properly prepared before programming and restored following events.
  • Adhere to the YMCA's Risk Management Program to ensure safe facilities and quality programs.
  • Monitor participants, volunteers, spectators, and members to ensure safe and appropriate behavior.
  • Serve as the first responder, respond to injuries, emergencies, behavioral concerns, conflicts, and facility incidents until additional leadership or emergency personnel arrive.
  • Complete incident reports, accident documentation, facility inspections, and operational summaries.
  • Conduct regular safety inspections and emergency preparedness assessments.
  • Assist with emergency drills and ensure staff understand emergency procedures.
  • Create an inclusive, welcoming, and positive environment for all members, participants, volunteers, and guests.
  • Build meaningful relationships with children, families, volunteers, and members.
  • Support participant engagement, retention, and overall program satisfaction.
  • Assist Membership staff during peak operational periods as needed.
  • Promote YMCA membership, programs, volunteer opportunities, special events, and future sports offerings throughout the branch.
  • Complete attendance records, equipment inventories, facility inspections, incident reports, and shift summaries.
  • Assist with registration support, roster verification, scheduling, and program preparation.
  • Perform office responsibilities including filing, copying, record keeping, and maintaining accurate program documentation.
  • Utilize Daxko, Outlook, Microsoft Office, Teams, and other YMCA software systems.
  • Communicate operational updates, staffing needs, participant concerns, and facility issues to branch leadership.
  • Support the YMCA Annual Campaign by sharing stories of impact, engaging members, and encouraging staff participation.
  • Collaborate with Membership, Wellness, Aquatics, Child Care, and other YMCA departments to provide exceptional member experience.
  • Attend required meetings, training, emergency drills, and professional development opportunities.
  • Represent the YMCA mission and core values both within the facility and throughout the community.
  • Perform other duties as assigned.
