About The Position

The Sport Service Assistant plays an essential frontline role in the smooth, efficient, and professional operation of the Performance Training Centre (PTC) and the Bob Niven Training Centre (BNTC). The Sport Service Assistant acts as the face of the PTC, ensuring all guests have exceptional experiences throughout every visit. This role provides administrative assistance and blends customer service excellence, operational support, facility readiness, coordination, and professional service delivery. Requirements

  • 1–2 years of customer service, sport facility operations, or administrative experience.
  • CPR/First Aid certification.
  • Excellent communication skills to build personal and professional relationships with WinSport staff and guests.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data analysis and reporting tools.
  • Ability to manage multiple stakeholders with competing priorities and meet deadlines in a fast-paced environment.
  • Self-starter who can work independently and take initiative.
  • High attention to detail with a strong focus on accuracy, follow through, and risk mitigation.

Nice To Haves

  • Previous cash handling and point-of-sale experience is an asset.
  • Experience with facility booking or CRM systems.
  • Familiarity with strength & conditioning equipment and gym operations.

Responsibilities

  • Serve as the first point of contact for athletes, coaches, members, and guests entering the PTC.
  • Ensure all users of the facility have completed WinSport’s Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreements.
  • Deliver exceptional service through check-ins, general inquiries, program information, and issue resolution.
  • Maintain a welcoming, professional, and high-performance training environment.
  • Provide accurate information about PTC products, services, and events, respond to guest inquiries, and communicate issues to upper leadership as required.
  • Communicate facility policies, expectations, and safety procedures clearly and respectfully.
  • Support membership sales, renewals, upgrades, and general service transactions.
  • Ensure the PTC training environment and adjacent gymnasiums are clean, safe, organized, and fully prepared for training activities throughout the day.
  • Access control for gymnasium venues, ice-house bookings, and National Sport School student admittance.
  • Conduct pre-opening, mid-day, and closing facility checks, addressing hazards or maintenance needs proactively.
  • Ensure that all guests entering the PTC have active memberships or register at the main desk for day use or scheduled customized training services.
  • Monitor cleanliness of the change rooms and restock towels and supplies in all training facilities.
  • Assist regular gymnasium bookings with equipment setup and cleanliness where appropriate.
  • Monitor the central email accounts, action booking requests, cancellations, and answer inquiries.
  • Manage daily operations tasks including check-ins, booking systems, membership database updates, and document filing.
  • Support scheduling for teams, user groups, facility rentals, and special events.
  • Collect fees and ensure space booked by internal/external groups is properly prepared.
  • Maintain accurate attendance, usage data, incident reports, and operational records.
  • Assist with inventory tracking of equipment, supplies, and merchandise.
  • Assist in reporting related to PTC utilization and service delivery.
  • Liaise effectively with coaches, practitioners, sport services staff, and WinSport departments including Security, Guest Services, Facility Operations, and Events.
  • Support internal communication regarding facility updates, closures, scheduling changes, and safety information.
  • Provide clear and timely updates to members and user groups as needed.
  • Always demonstrate safe work practices by adhering to all WinSport safety policy and procedures and ensuring one’s own safety is preserved along with the safety of co-workers, direct reports and WinSport guests.
  • Be mindful of all safety hazards/concerns within the work environment and ensure all safety issues are reported to the appropriate individuals.
  • Review all OH&S notices as they are distributed or posted on OH&S boards located within all departments.
