About The Position

The SPN Same Day Scheduler is responsible for managing patient check-in and check-out processes, including accurate patient registration, appointment scheduling, and handling patient inquiries. This role involves verifying patient demographics, screening insurance eligibility, processing payments, and managing various administrative tasks related to patient care and scheduling within the Scotland Physician Network Administration department.

Responsibilities

  • Accurately complete EPIC registration for each patient, including verifying and updating demographics, screening insurance eligibility, and scanning insurance cards.
  • Offer SPN Sliding Fee application and ensure acknowledgement is signed for Self-Pay patients (Primary Care Only).
  • Ensure E-sign Consent for treatment and insurance authorization is completed if due.
  • Perform patient reminder calls and daily review of requests to cancel or reschedule appointments.
  • Handle live calls for appointment reminders with a goal of decreasing unused appointment slots daily.
  • Greet patients and answer phones in a kind, courteous tone.
  • Assist patients with scheduling and rescheduling appointments.
  • Create inbox messages as needed to assist patients, including refill requests for medication.
  • Identify RED words.
  • Perform scheduling for walk-ins.
  • Generate no-show letters through EPIC.
  • Schedule follow-up appointments, referrals, and ancillary services as directed by EPIC provider orders.
  • Return phone messages and assist patients.
  • Distribute land line faxes to appropriate Clerical and Clinical Teammates.
  • Complete appropriate referral work questions.
  • Ensure patients receive AVS (after visit summary).
  • Complete work notes as directed by provider.
  • Collect copays and coinsurance at Check out or Check in.
  • Complete standard work for daily deposit and reconciliation.
  • Manage ON Base Patient Documentation Application.
  • Transcribe orders/Enter Referral Orders.
  • Schedule incoming referrals by practice protocols.
  • Complete Prior Authorizations as required.
  • Complete Surgical and Procedural Scheduling in appropriate locations, often the Specialty Ambulatory Practices.
  • Complete Surgical and Procedure Prior Authorizations.
  • Complete Referral Work Que Management for outgoing referrals per Standard Work.
  • Distribute Patient Information and Directional handouts for Scheduled Surgeries and Procedures.
  • Release OR block times as required for blocks not being utilized due to Vacations, PTO, etc.
  • Inform patients of Surgical Benefits and Copays.
