About The Position

The SPN Same Day Scheduler is responsible for managing patient check-in and check-out processes, including accurate patient registration, appointment scheduling, and financial transactions. This role involves direct patient interaction, handling phone calls, managing patient documentation, and coordinating appointments and referrals according to established protocols. The scheduler plays a crucial role in ensuring efficient patient flow and accurate record-keeping within the SCMG Scotland Physician Network Administration.

Responsibilities

  • Accurately complete EPIC registration for each patient, verifying and updating demographics, screening insurance eligibility, and scanning insurance cards.
  • Offer SPN Sliding Fee application for self-pay patients and ensure acknowledgements are signed.
  • Ensure E-sign Consent for treatment and insurance authorization is completed if due.
  • Manage patient appointment arrivals following Standard Work.
  • Perform patient reminder calls and handle live calls for appointment reminders to decrease unused appointment slots.
  • Assist with phones by greeting patients, answering calls courteously, and assisting with scheduling/rescheduling appointments.
  • Create inbox messages as needed to assist patients, including refill requests for medication.
  • Perform scheduling for walk-ins.
  • Generate no-show letters through EPIC.
  • Schedule follow-up appointments, referrals, and ancillary services as directed by EPIC provider orders.
  • Return phone messages and assist patients.
  • Distribute landline faxes to appropriate Clerical and Clinical Teammates.
  • Complete appropriate referral work questions.
  • Ensure patients receive AVS (after visit summary).
  • Complete work notes as directed by provider.
  • Collect copays and coinsurance at Check out or Check in.
  • Complete standard work for daily deposit and reconciliation.
  • Manage ON Base Patient Documentation Application.
  • Transcribe orders/Enter Referral Orders.
  • Schedule incoming referrals by practice protocols.
  • Complete Prior Authorizations as required.
  • Complete Surgical and Procedural Scheduling in appropriate locations.
  • Complete Surgical and Procedure Prior Authorizations.
  • Manage Referral Work Que for outgoing referrals per Standard Work.
  • Distribute Patient Information and Directional handouts for Scheduled Surgeries and Procedures.
  • Release OR block times as required for blocks not being utilized.
  • Inform patients of Surgical Benefits and Copays.
