About The Position

The Specialist, Public Facilities Asset Management, reports directly to the Program Manager, Transit Asset Management. This position performs highly advanced inventory control work, requiring well-organized, detail-oriented support for the Public Facilities Asset Management Program, including recording and tracking the work order process and audits, providing oversight and monitoring of inventory, maintaining and updating databases, and providing administrative support. The position ensures compliance with established security requirements, loss prevention controls and procedures. It will also include tracking data for efficient program management and federal requirements. Works under minimal supervision, with extensive latitude for the use of initiative and independent judgement.

Requirements

  • High School Diploma
  • Three (3) years of progressively responsible experience in inventory management including working with Federal Guidelines, creating and providing reports for federal agencies.
  • Intermediate experience using Microsoft Office Suite.
  • Excellent oral, written and interpersonal communication skills.
  • Knowledge of Transit Asset Management federal requirements as it relates to inventory and federal reporting.
  • Ability to manage multiple projects and meet established deadlines.
  • Skills to effectively compile, file, retrieve, maintain, research, coordinate, and organize information.
  • Ability to prepare a variety of reports, correspondence, forms, and spreadsheets.
  • Knowledge of office administrative practices related to purchasing.
  • Intermediate knowledge of Microsoft Word, Excel, SPEAR/EAM and Oracle Accounts Payable, Receivable and Procurement
  • Ability to maintain confidentiality of sensitive information
  • Ability to analyze and solve problems; to make decisions affecting the operation of administrative services functions.
  • Must be able to safely operate a motor vehicle.
  • Must be able to use a telephone or headset equipment.

Responsibilities

  • Oversee warehouse operations, including receiving, loading/unloading, stocking, issuing materials, and maintaining accurate inventory levels and control records.
  • Develop and enforce inventory control procedures, conduct physical counts, reconcile discrepancies with asset accounting records, and assign inventory identification in alignment with agency loss prevention standards.
  • Manage and monitor Public Facilities work orders to ensure accuracy, completion, and proper reconciliation across maintenance, inspections, audits, and reporting activities.
  • Coordinate daily with Public Facilities leadership to validate work order intake, resolve issues, and ensure timely execution.
  • Administer and maintain the Enterprise Asset Management System (EAM), ensuring real-time accuracy of asset records, data integrity, and proper documentation.
  • Oversee system interfaces (e.g., Oracle), including generating requisitions, tracking purchase orders, invoices, and shipment documentation.
  • Generate and analyze reports to support internal departments and ensure compliance with Cap Metro policies, FTA requirements, and MAP-21/State of Good Repair standards.
  • Support audits and compliance efforts, including maintaining required documentation and participating in periodic asset field audits.
  • Review and enhance asset management, inventory, and data collection processes, recommending improvements to strengthen controls, accuracy, and operational efficiency.
  • Develop training programs and deliver instruction to staff on EAM system usage, and coordinate with Planning Team during the implementation of annual service changes impacting asset and inventory management processes.
  • Respond to and resolve customer inquiries and complaints related to public facilities, ensuring timely investigation and resolution.
  • Support Capital Metropolitan Transportation Authority’s Safety Management Systems (SMS) process by following safety and security policies, considering safety in every action and reporting safety and security concerns.
