Requirements

  • Bachelor’s degree or equivalent combination of education & experience
  • 3+ years of Charter and Group Sales and/or Operations experience
  • Previous experience with cruise or hotel programming planning; understanding of the inner workings of cruise lines and room block agreements
  • Ability to think outside of the box using creative problem-solving skills
  • Must be adept at multi-tasking and meeting deadlines in a fast-paced environment
  • Strong interpersonal communication skills; excellent verbal and written communication skills
  • Ability to effectively interact with all levels of the Company
  • Strong attention to detail and organizational skills
  • Ability to handle and maintain the confidentiality of sensitive information
  • Ability to work under minimal supervision; exercising independent judgment, discretion, and initiative
  • Process-oriented – able to develop and refine workflow processes for maximum efficiency
  • Strong customer service/people skills, including diplomacy and the ability to establish winning relationships with employees, colleagues, clients, and suppliers/vendors
  • Solution-oriented with proven problem-solving skills
  • Proficiency in Microsoft Office and reservation systems
  • Proper documentation to travel domestically & internationally (i.e, valid passport) and ability to travel on short notice as well as work non-traditional hours as needed.

  • Previous sales experience is a plus
  • A wide range of travel experience to worldwide destinations is a plus (experience and knowledge of ports of call a plus)
  • experience with program planning applications a plus

Responsibilities

  • Facilitate and directly support the MICE Sales team in all charter and group RFPs.
  • Facilitate support to the MICE Sales team in capturing new business opportunities and growing the MICE database with new clients.
  • Maintain a detailed record of MICE client interactions and related activities.
  • Assist Charter Sales Team in responding to Charter & Group requests.
  • Collect & input all trip details for Charter, Meeting, and Incentive groups and continually monitor and update as changes are made.
  • Participate in department training, industry networking events, and client meetings as needed.
  • Assist in identifying and surpassing monthly, quarterly, and annual department goals.
  • Work with Reservations to pull and assign group space.
  • Ensure payments for all Charters & Groups are received and recorded.
  • Work with Accounting to facilitate monthly accruals and manage yearly spending.
  • Invoice all Charters & Groups and follow up on any outstanding issues.
  • Assist with Marketing & Partnership plans when needed; coordinate with Marketing to update necessary assets or fleet amenity changes.
  • Oversee program wrap-up process including internal documentation, client feedback, and financial reconciliations.
  • Collaborate with Hotel Operations on requests to accommodate group needs.
  • Assist operations manager with planning of customized events, special onboard programming and entertainment, unique food & beverage requests, production requirements, excursions, and custom itineraries, and other items that may be consistent with the parameters of the client’s charter agreement.
  • Maintain Charter/Group records and preferences in the Events System.
  • Communicate and escalate service issues appropriately, including timely follow-up
