About The Position

Provides administrative and operational support, ensuring smooth delivery of campus resources, including faculty onboarding, access control and campus-wide services, while serving as a liaison for internal and external stakeholders.

Requirements

  • High school diploma or equivalent
  • Three (3) years of administrative support or office management experience. An equivalent combination of education and experience necessary to perform the essential duties of the role may be considered.
  • Operational Excellence: proficient in implementing and evaluating administrative programs and services. Ability to perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards with minimal supervision within the assigned time frame.
  • Communication: excellent interpersonal skills for professional interaction with faculty, students, and the general public, sufficient to exchange or convey information and receive work direction.
  • Technical Proficiency: skilled in using standard office equipment such as phones, copy machine, and fax machine. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Public Presentation: ability to represent the campus professionally to various community groups (presentations).
  • Ability to exercise good judgment and discretion, especially with regards to sensitive or confidential information.

Nice To Haves

  • Associate’s degree in business administration or a related field.
  • Five (5) years of administrative support experience, with at least three (3) years in a community college/higher education setting.
  • Direct experience with Banner, Argos or similar enterprise resource planning (ERP) systems.

Responsibilities

  • Process part-time faculty employment, maintaining accuracy and ensuring smooth, continuous hiring and onboarding workflows.
  • Manage key access requests, ensuring proper authorization, compliance and timely distribution.
  • Oversee vehicle access requests, ensuring proper authorization, compliance, and efficient, timely fulfillment.
  • Oversee the daily processing, logging, and tracking of vending refunds and lost and found, ensuring accuracy, accountability, and timely resolution.
  • Prepare and manage a range of correspondence, reports, and documentation, leveraging Banner, Argos, and data dashboards for analysis and reporting.
  • Ensure timely and secure access for all events, supporting seamless operations and a smooth experience for participants.
  • General office duties, such as answering phones, emails, records management
  • Serve as a liaison, cultivating intentional and collaborative relationships with other offices and departments.
  • Process P-Card statements and maintain accurate records of P-Card activity and related expenditures.
  • Performs other duties as assigned
