About The Position

Diabetes Canada is seeking a Specialist, Campaign Operations, Annual Giving to support the national Donor Response Marketing program. This role involves coordinating and executing multi-channel, single gift donor and acquisition campaigns across direct mail, phone, email, online, and paid digital media channels. The Specialist will report to the Senior Manager, Annual Giving and support the Direct Response Team and external vendors in campaign execution, operational support, and ensuring accuracy across campaign components. Key responsibilities include campaign quality assurance, data verification, process improvement, and cross-functional coordination.

Requirements

  • Post-secondary diploma or university degree, or an equivalent combination of education, training and experience.
  • 3 - 5 years of experience in direct response fundraising; experience working within a large national charity is an asset.
  • Experience working with external fundraising agencies, vendors and cross-functional teams.
  • Highly organized and detail-oriented, with exceptional communication and multi-tasking skills; able to manage multiple priorities while ensuring timely project delivery.
  • Collaborative, adaptable and personable; excels at building strong relationships and is comfortable working with stakeholders at a variety of levels.
  • Proactive and dependable, with the ability to manage competing priorities
  • Strong computer skills, with high level of comfort working in MS Office, Teams and SharePoint.
  • Familiarity with CRM systems and digital fundraising platforms.
  • Commitment to fostering a positive, inclusive, and collaborative work environment.

Nice To Haves

  • Experience working within a large national charity is an asset.
  • Experience with industry online fundraising platforms (Fundraise Up, MailChimp, etc.) is an asset.

Responsibilities

  • Coordinate DRM team campaign and project timelines and workflows, contributing to the development of critical paths, tracking deliverables, and ensuring alignment across internal stakeholders and external vendors.
  • Support and help facilitate campaign kick-offs, planning discussions and follow-ups, ensuring clear documentation of timelines, roles, and deliverables across stakeholders and vendors.
  • Serve as a primary coordination contact for external vendors, managing day-to-day communications, monitoring progress, data and creative approvals and escalating issues appropriately.
  • Support campaign implementation and execution, ensuring operational steps are completed accurately and on schedule.
  • Lead campaign data validation and quality assurance processes, including verifying segmentation logic, audience splits, and data accuracy prior to deployment.
  • Perform detailed data checks across channels, ensuring consistency between data files, creative outputs, and deployment specifications.
  • Monitor campaign performance data for anomalies, flagging discrepancies and working with internal teams to resolve issues.
  • Maintain accurate campaign tracking and reporting files, ensuring data integrity for analysis and future use.
  • Provide support for budget tracking and reconciliation, coordinating invoices and assisting with financial tracking and reporting.
  • Coordinate internal campaign communications, ensuring stakeholders are informed of timelines, deliverables, and updates.
  • Support donor service and fulfillment coordination, working with vendors to ensure timely and accurate execution.
  • Maintain and enhance team processes and documentation, identifying opportunities to improve workflow efficiency and accuracy.
  • Assist with research and analysis, including competitor insights and sector trends to support campaign optimization and planning.
