About The Position

This position provides full spectrum administrative support to the federal and state grants programs including significant tracking and maintenance of program budgets and matters of a confidential nature. Handles daily work pressures, requiring a volume of work which must be completed within a specified period of time.

Requirements

  • High School Diploma or GED required

Responsibilities

  • Follows and maintains knowledge of all applicable District policy(ies) and procedures.
  • Provides administrative support to curriculum department staff including, but not limited to preparation of presentations, tracking, calendar management, correspondence to staff, parents, students and community members.
  • Works with Federal and State Agencies to manage grant funds.
  • Performs general office duties including answering multi-line phones, greeting the public, typing, filing, sorting and handling incoming and outgoing mail, responding to emails.
  • Completes a high volume of computer data entry work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
  • Compiles and prepares reports for administration or outside agencies as required.
  • Reads and interprets legal guidelines in regards to administration of federal and state programs.
  • Responds to requests from district leadership, principals, and staff regarding grant budgets and expenditures.
  • Schedules conferences and programs as required including creating schedules, contacting all invited parties, preparing confirmation and distributing materials to all parties (district leadership, school staff, etc.).
  • Manages special projects as assigned.
  • Processes district purchase orders and organizes purchases.
  • Provides accurate and timely information and reports.
  • Assists in development, track, maintain, and report on program budgets including Title I, Title IIA, Title IV, 21st Century, Student Investment Account, High School Success, and other development grants.
  • Assists schools in allocating the Title I budgets.
  • Coordinates data and documentation required for monitoring of grants.
  • Appropriately maintains and secures confidential records and inquiries.
  • Interacts thoughtfully and courteously with students, staff, administrators, and parents and resolves conflict in a professional manner.
  • Communicates clearly with coworkers and other staff.
  • Dresses professionally for the position.
  • Provides impeccable customer service.
  • Attends work daily as assigned and is punctual.
