About The Position

The role of Special Operations Administrator directly supports the company’s mission to develop and deliver clean power plants that make 100% renewable energy a reality for the world. As the Special Operations Administrator, you will provide administrative, systems, reporting, and operational support to the Special Operations team. This role is responsible for ensuring the accuracy and integrity of service order data, supporting project documentation, coordinating logistics activities, and assisting in the successful execution of major component exchanges and special operations projects throughout North America.

Requirements

  • High School Diploma or GED required.
  • Minimum 2 years of administrative, operations support, project coordination, or related experience.
  • Strong organizational skills with exceptional attention to detail.
  • Experience working within ERP systems; SAP experience preferred.
  • Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Customer-focused mindset with the ability to work collaboratively across departments.
  • Ability to travel up to 75% as business needs require.
  • Ability to obtain and maintain a valid passport and travel throughout the United States and Canada.
  • Driving is an essential function of the job. Must possess a full valid driver's license and be insurable under our auto insurance policy. This position will be subject to periodic driver's abstract checks to confirm continued insurability.
  • Demonstrate a strong understanding of and commitment to safety protocols and procedures.
  • Ensure compliance with all safety regulations and company policies.
  • Proactively identify and mitigate potential safety hazards.
  • Properly use applicable safety equipment, including but not limited to eye protection, hearing protectors, steel-toe boots, and hard hats. Loose-fitting clothes and jewelry are not permitted.
  • Communicate effectively with team members and management to ensure a safe working environment.
  • Speak and understand English fluently to effectively communicate safety and job-related information, follow safety instructions, and collaborate with English-speaking supervisors and team members

Nice To Haves

  • Associate degree, vocational training, or related education preferred.
  • Experience in renewable energy, industrial services, construction, or field operations environments preferred.

Responsibilities

  • Create, maintain, and update Service Orders (SOs) and associated documentation.
  • Ensure accuracy and completeness of operational data within company systems.
  • Monitor, track, and follow up on open Service Orders and project-related actions.
  • Support reporting activities through data collection, validation, and analysis.
  • Coordinate documentation required for project execution, closeout, and compliance purposes.
  • Assist with logistics planning for major component exchanges, tooling, equipment, and transportation needs.
  • Support crane coordination and special operations project activities.
  • Maintain records in accordance with company procedures and regulatory requirements.
  • Collaborate with field teams, coordinators, and internal stakeholders to resolve documentation and data discrepancies.
  • Assist with continuous improvement initiatives by identifying process gaps and supporting corrective actions.
  • Ensure accurate tracking and reporting of Special Operations activities, costs, and project status.
  • Provide administrative support to the Special Operations team as required.
