About The Position

The New York Philharmonic seeks an Associate, Special Events to join a dynamic and high-performing Special Events team. This role supports the planning and execution of the Orchestra’s fundraising and donor engagement events, helping create meaningful experiences that advance philanthropic support for the New York Philharmonic. Working closely with colleagues across Development and other departments, the Associate contributes to event operations, donor stewardship, and administrative coordination. The position regularly interacts with donors, volunteers, vendors, and internal stakeholders while supporting multiple events throughout the season. Occasional evening and weekend work is required in connection with fundraising events and donor activities.

Requirements

  • 1+ year of professional experience in fundraising, development, events, or administrative support
  • Experience supporting donor, customer, constituent, or stakeholder-facing activities
  • Strong written and verbal communication skills with exceptional attention to detail
  • Proficiency with Microsoft 365 applications and donor database systems such as Tessitura or similar, including experience with electronic Word mail merges
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Highly organized and detail oriented
  • A collaborative team player who builds positive relationships
  • Proactive, resourceful, and solutions focused
  • Comfortable working with donors and event participants
  • Committed to contributing to an inclusive workplace where everyone belongs

Nice To Haves

  • Master’s degree in Arts Administration or a related field, or additional professional certification, is a plus

Responsibilities

  • Support planning and execution of five pillar fundraising events and additional cultivation events
  • Track fundraising progress, donations, pledges, acknowledgements, and reporting activities
  • Draft event collateral including invitations, programs, place cards, and supporting materials
  • Manage event guest lists, response tracking, and donor follow-up activities
  • Coordinate with vendors, volunteers, and internal stakeholders to support successful event execution
  • Maintain seating data, mailing lists, and event-related databases
  • Provide onsite event registration and guest experience support
  • Manage calendars, supplies, invoice processing, and other administrative functions
