About The Position

Ensures management and support of Special Education and Section 504 paperwork, maintaining compliance with federal, state, and local requirements. This role involves supporting the Special Education team leads and/or 504 coordinator in administrative tasks related to student records and compliance.

Requirements

  • Strong data skills required.
  • Knowledge of Enrich, Powerschool, Microsoft Office software applications, and database program applications.
  • Advanced knowledge of Business English, spelling, punctuation, mathematical computation and possession of an excellent vocabulary.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write and/or type routine reports and correspondences.
  • Ability to speak effectively to parents and other stakeholders.
  • Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals.
  • Application of percentages, ratios, and proportions to practical situations is required.
  • Ability to interpret and carry out instructions furnished in written, oral, diagram or schedule form.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to analyze information and use logic to address work related issues and problems.
  • Ability to quickly assess employee, departmental, and administrative needs and provide timely feedback.
  • Ability to analyze varied functions, processes and tasks for the preparation of varied and complex records and reports.
  • Thorough knowledge of the principles of office management and of modern office procedures, systems and equipment such as typewriters, calculators, and word processors.
  • Strong knowledge of word processing, e-mail, spreadsheets, electronic file management, the internet, and reporting and presentation software.
  • Knowledge in maintaining confidentiality of information of a sensitive and confidential nature.
  • Ability to type clear copy at the minimum required rate.
  • Ability to create electronic reports and presentations, use the internet efficiently, communicate electronically via e-mail, and manage electronic data and files in an organized manner.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.

Responsibilities

  • Completing and/or managing the upload of paperwork in Enrich as requested by the special education team leads and/or 504 coordinator in the school (i.e. meeting notices, contact logs, verification of accommodations, ISS service logs, etc.)
  • Conducting paperwork audits, maintaining an audit log, and submitting paperwork to the district office
  • Communicating with parents and other stakeholders (i.e. schedule meetings, complete necessary screenings, interviews for rating scales/forms, etc.)
  • Support parent intakes after a referral is made
  • Pull caseload reports monthly to check for compliance (i.e. caseload numbers, discipline, timelines, etc.)
  • Maintain student information in Enrich
  • Monitor other systems for student information and provide feedback to team leads/coordinators (i.e. discipline days of removal, frequent absences, grades, “on-track for graduation,” IGPs, etc.)
  • Support School Testing Coordinator with planning for the implementation of accommodations
  • Support maintenance of accurate EFA rosters and student PowerSchool coding
  • Support maintenance of accurate budget codes for school staff, including supporting HR paperwork (i.e. PAFs, requisitions, etc.)
  • Managing, organizing, and submitting paperwork for students with disabilities to participate in field trips and other off campus events
  • Submitting orders for materials and supplies
  • Maintain confidentiality for HIPPA and FERPA
  • Performs other related tasks as assigned by the Principal.
