About The Position

Assist with all office procedures, including but not limited to answering phones, filing and filling out paperwork by hand and electronically. This role requires maintaining the highest level of confidentiality and integrity in all employee and financial matters, interacting politely and professionally with internal and external customers, and directing customers to appropriate staff. The position involves maintaining financial documents, ordering supplies, organizing and maintaining file systems, printing, copying, collating, sorting mail, and composing correspondence. A clean work area is expected, along with proficiency in various software applications for data manipulation and reporting, and the ability to perform difficult typing and word processing duties. The assistant will answer telephones, respond to calls for assistance, and act as a liaison with staff, faculty, administrators, and external parties. Other duties may be assigned.

  • Must be able to maintain the physical requirements of the job.
  • Pass a pre-employment drug screening.
  • Pass a pre-employment criminal background investigation.

Responsibilities

  • Maintain the highest level of confidentiality and integrity in all employee and financial matters.
  • Interact with internal and external customers in a polite and professional manner.
  • Respond to team member requests for forms, policy/procedures, etc. when appropriate.
  • Direct department customers to appropriate department staff as needed and assist other staff and the general public.
  • Maintain financial documents and records.
  • Order supplies for the department and keep inventory of supplies and office equipment.
  • Organize and maintain file system and files correspondence and other records; pull files; add the most recent documents to the file, pull specific dated items from files and set-up and label files for new hires.
  • Print, copy, collate and staple documents. Sort and distribute mail and office supplies. Compose and send correspondence.
  • Maintain a clean work area.
  • Use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports & the ability to perform difficult typing/word processing duties.
  • Answer the telephone and respond to calls for assistance; tactfully and discreetly obtain relevant information; serve as liaison with staff, faculty, major administrators and external.
  • Perform other duties as assigned.
