About The Position

You'll provide essential administrative and operational support to the site management team, ensuring smooth day-to-day operations, vendor coordination, and effective communication between stakeholders. As a Site Operations Coordinator, you'll be the organizational backbone of the site—managing vendor schedules, maintaining accurate records, supporting front desk operations, and helping to track key performance indicators. Your strong organizational skills and proactive approach will ensure that our facilities run efficiently while maintaining the highest standards of service delivery.

Requirements

  • 0-2 years of experience in an administrative or operational support role
  • Strong organizational skills and exceptional attention to detail
  • Proficiency in Microsoft Office suite, particularly Excel and Outlook
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Basic understanding of customer service principles
  • Ability to work onsite full time
  • Flexibility for reimbursed travel between client locations.
  • Candidates must be authorized to work in the United States without sponsorship.

  • Experience in a facilities management or property management environment
  • Familiarity with vendor management concepts
  • Basic knowledge of building operations and maintenance

Responsibilities

  • Schedule and coordinate vendor activities and site inspections
  • Maintain accurate records of vendor interactions, service requests, and site activities
  • Assist in the preparation of basic reports on site operations and vendor performance
  • Respond to routine inquiries from staff, vendors, and clients
  • Support the implementation of site procedures and protocols
  • Organize and maintain site documentation and operational manuals
  • Assist in tracking and reporting on key performance indicators (KPIs)
  • Coordinate site meetings and help prepare relevant materials
  • Support front desk operations and greet visitors professionally
  • Liaise with regional mailroom lead to ensure smooth site operations
  • Participate in safety and compliance initiatives to promote a safe working environment.
