About The Position

Eternal Companions is a growing company specializing in funeral support for families who have lost a pet. Present in Quebec and Ontario, our mission is to provide services rooted in empathy, respect, and dignity, supporting both families and the veterinary teams we work closely with. We believe every member of our team contributes to our mission. We are looking for someone to act as the central point of operations for our Gloucester branch. This person will ensure the smooth day-to-day operation of the location: guiding the team on operational priorities (without being their direct manager), serving as the link between customer service and operations, overseeing building maintenance, and producing the reports needed for rigorous case file management. The goal is not volume-driven, but rather a constant focus on quality. The role also includes participation in certain specialized services, notably the professional and respectful handling of animal remains, in strict compliance with company procedures and with all the professionalism this type of service requires. This position is not suited to someone looking for a well-defined routine. We are looking for someone who wants to actively contribute to the company's success and become the go-to resource for this branch: someone who knows how to roll up their sleeves, propose solutions, and finds satisfaction in a hands-on, operational role rooted in empathy.

Requirements

  • Diploma or relevant training in a related field (administration, operations management, etc.);
  • Minimum 5 years of experience in an operations management role;
  • Bilingualism required (French and English, spoken and written);
  • Comfortable with computer tools (Microsoft Office suite, CRM, Teams).

Nice To Haves

  • Experience in operations management, customer service, or administration (experience in the animal, veterinary, or funeral sectors is an asset);
  • Experience or knowledge of building maintenance or site management (an asset);
  • Knowledge of health and safety and biosecurity standards;
  • Ability to work in an environment involving deceased animals;
  • Ability to handle loads of 50 lbs and more;
  • Autonomy, reliability, and a sense of responsibility;
  • Professionalism, rigor, and attention to detail;
  • Proactivity and anticipation skills;

Responsibilities

  • Ensure the smooth running of daily activities (pickups, cremations, memorial services, returns, etc.);
  • Ensure smooth communication and effective collaboration between operations and customer service;
  • Support local teams as needed in handling services;
  • Welcome clients and carry out certain specific memorial services;
  • Take full responsibility for site and facilities management (maintenance, upkeep, etc.) and ensure cleanliness, safety, and compliance;
  • Manage external vendors (e.g., point of contact for maintenance of the local unit);
  • Apply hygiene, biosecurity, and health and safety standards;
  • Ensure compliance with traceability and handling procedures;
  • Conduct internal inspections and document the results;
  • Write and produce periodic reports (volumes, incidents, needs);
  • Maintain client and animal records and data entry;
  • Manage inventory (urns, supplies, equipment, and more).
