About The Position

The SFC Site Coordinator is a front-office and administrative support role within the Facilities and Administrative operations structure, reporting directly to the SFC IT Systems & Facilities Manager. This position is primarily responsible for ensuring the organization, coordination, and administrative execution of all front office and facility-related activities. You will act as the central coordination point for office operations, supporting vendor management, scheduling, communication flow, and administrative processes that keep the site running efficiently. As the first point of contact for visitors, vendors, and internal teams, you set the tone for a professional and organized office environment. This role is designed to extend the effectiveness of the SFC IT Systems & Facilities Manager by owning day-to-day coordination, tracking, and follow-through across multiple workstreams. Success in this role comes from strong organization, proactive communication, and the ability to manage competing priorities with precision. This role functions similarly to an executive coordinator, ensuring priorities are organized, tracked, and executed so leadership can focus on higher-impact initiatives. This is an office-based, coordination-heavy role ideal for someone who thrives in an administrative environment rather than a warehouse operations role.

Requirements

  • Experience in an office-based administrative, coordinator, or executive support role.
  • Proven experience managing administrative workflows, schedules, or vendor coordination in an office environment.
  • Strong proficiency with Google Workspace (Sheets, Docs, Drive, Calendar, Gmail).
  • Excellent organizational and time management skills with high attention to detail.
  • Clear and professional communication skills across teams, vendors, and leadership.
  • Ability to manage multiple priorities, track tasks, and ensure consistent follow-through.
  • Comfortable working independently in a fast-paced, interruption-driven office setting.

Nice To Haves

  • Experience supporting a manager or leadership role by handling coordination, scheduling, or administrative workload.
  • Experience managing vendor relationships, vendor negotiations, contracts, or service agreements.
  • Background in office management, facilities coordination, or administrative operations within a warehouse or logistics environment.

Responsibilities

  • Manage the front office experience to include: greet visitors, route communications, and maintain a professional, organized environment.
  • Serve as the central point of coordination for vendor scheduling, service requests, and follow-ups.
  • Proactively identify opportunities to streamline administrative processes and reduce manual workload for leadership.
  • Maintain and track vendor records, service schedules, and facility-related documentation to ensure nothing is missed.
  • Coordinate building and equipment maintenance by scheduling, tracking, and confirming completion of vendor work.
  • Support SFC team member onboarding and offboarding logistics, ensuring all administrative and vendor-related tasks are completed accurately and on time.
  • Oversee supply procurement by managing ordering workflows, tracking inventory levels, and coordinating with vendors (Ernest, ULine, Amazon).
  • Assist in planning and coordinating office events, visits, and culture initiatives as needed by the HR team.
  • Manage shared office services such as mail handling, phone coverage, and general administrative support.
  • Track open tasks, priorities, and follow-ups to support the SFC IT Systems & Facilities Manager in staying focused on higher-level initiatives.
  • Support ongoing administrative and operational projects through organization, documentation, and execution.
