About The Position

Kent is looking for a Site Administrator to support the Saint John LNG Project (SJLNG) in Saint John, New Brunswick. This role is responsible for managing site-based administrative functions and payroll coordination to ensure accurate workforce records, timely payroll processing, and compliance with project and client requirements. The position plays a critical role in supporting site operations, workforce logistics, and reporting.

Requirements

  • Diploma or certificate in Business Administration, Accounting, or related field preferred.
  • 5+ years of experience in site administration and/or payroll coordination in industrial or construction environments.
  • Strong knowledge of payroll systems, timekeeping processes, and workforce coordination.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Experience with workforce tracking systems and site logistics coordination.
  • Excellent command of the English language in both oral and written communication and skills.
  • Ability to work with cross-functional teams in a fast-paced site environment.
  • High attention to detail and accuracy.
  • Strong organizational and multitasking abilities.
  • Confidentiality and professionalism in handling sensitive information.
  • Observe the Health, Safety, Sustainability, Environment and Quality rules of the Company; it’s clients and the governing authorities of the host country.

Responsibilities

  • Collect, verify, and process timesheets for site personnel in alignment with project schedules and work requirements.
  • Ensure accurate coding of hours, overtime, allowances, and project-specific pay rules.
  • Coordinate with HR and Payroll teams to ensure timely submission and issue resolution.
  • Maintain payroll records in compliance with company and client requirements.
  • Manage onboarding documentation including orientation records, certifications, and site access requirements.
  • Maintain personnel records, training matrices, and site tracking logs.
  • Coordinate workforce logistics and scheduling as required.
  • Provide administrative support to site leadership and department teams.
  • Generate weekly workforce reports including headcount, hours tracking, and payroll summaries.
  • Maintain accurate filing systems for project documentation (digital and physical).
  • Support audit readiness for payroll and workforce compliance.
  • Liaise with HR, Payroll, Project Controls, and Site Management teams.
  • Support workforce planning and mobilization activities.
  • Assist with resolving employee inquiries related to payroll and site administration.
  • Perform other ad-hoc tasks as needed or directed by the supervisor or management, within the reasonable scope of the employee's skills, capabilities, and role.
