About The Position

The Site Administrator provides day-to-day administrative and operational support to the project team on hydroelectric unit overhaul projects. Working closely with project managers, superintendents, field teams and corporate departments, this role helps ensure site activities, documentation and workforce requirements are coordinated efficiently and accurately. This is a site based role, located 6 hours north of Sudbury in Kipling, Ontario.

Requirements

  • Approximately 2-5 years of administrative experience, ideally within construction, engineering, industrial or project-based environments.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills and a professional, service-oriented approach.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel and Teams; experience with SharePoint or construction management systems is an asset.
  • Ability to exercise sound judgment, maintain confidentiality and work independently in a fast-paced environment.
  • Willingness and ability to work at the project site and accommodate project schedules as required.

Nice To Haves

  • Post-secondary education in Business Administration, Office Administration or a related discipline is preferred.
  • Previous experience supporting a site-based project team, workforce administration, payroll or accounts payable is an asset.
  • experience with SharePoint or construction management systems is an asset.

Responsibilities

  • Provide administrative support to the project team, including correspondence, reports, presentations, meeting coordination and document preparation.
  • Maintain accurate project files, employee records, site documentation, contact lists and electronic filing systems.
  • Support employee onboarding and offboarding, including site orientation, access requirements, training records and collection of required documentation.
  • Coordinate timesheets, payroll information, living-out allowance documentation, expense reports and other workforce-related records.
  • Assist with travel, accommodations, site access, office supplies, courier services and general site logistics.
  • Prepare meeting agendas, record minutes, track action items and follow up with responsible team members.
  • Support procurement and accounts payable activities, including purchase requisitions, purchase orders, packing slips and invoice coordination.
  • Maintain confidentiality when handling employee, commercial and project information.
  • Act as a key point of contact for site employees, visitors, vendors and internal departments, directing questions to the appropriate team member.
  • Support project reporting, safety administration, document control and other duties required for effective site operations.
