About The Position

The Neko Signature Coordinator is the operational backbone of the Signature programme. This role works behind the scenes to ensure every booking is set up correctly, all logistical details are handled, and the Concierge team can focus on delivering an exceptional member experience. The coordinator is the first point of contact for enquiries, ensures nothing is missed, and acts as the link between the Concierge team, clinic operations, and the member. The role requires someone highly organised, calm under pressure, motivated by accuracy, and able to shift priorities effectively. This position operates on a rotating schedule that includes evenings and weekends, which is considered part of delivering an exceptional Signature experience.

Requirements

  • Experience in a coordination, operations, or administrative role, ideally within hospitality, healthcare, or a high-touch service environment.
  • Exceptional organisational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and keep track of moving parts without losing accuracy.
  • Ability to handle highly confidential and sensitive member information with absolute discretion, including when working with high-profile individuals.
  • Calm and professional demeanor in all situations, with a genuine commitment to getting things right for the member.
  • Comfortable working a rotating schedule that includes evenings and weekends.
  • Proficient with everyday workplace tools, including Microsoft Word, PowerPoint, Excel, and Outlook, for managing schedules, trackers, and member documentation.

Responsibilities

  • Ensure every Signature booking is set up correctly and ahead of time in Neko's platforms, with members receiving confirmations, instructions, and any personalised requirements well before their visit.
  • Triage enquiries across all channels and route them promptly to the right Concierge, maintaining visible status updates and flagging urgent issues for early escalation.
  • Coordinate visit logistics end-to-end, including transport, ordering, and specific member requirements, briefing clinic and operations teams before each visit.
  • Handle high-volume periods and Signature events calmly, absorbing last-minute changes and keeping all relevant teams informed in real time.
  • Develop and implement SOPs, trackers, and process improvements to ensure consistency and accuracy as the programme grows.
