Requirements

  • High school diploma or equivalent preferred.
  • Previous shipping, receiving, warehouse, or inventory experience preferred.
  • Previous experience working with FedEx and UPS shipping portals, and/or customer-directed portals, preferred.
  • Ability to read and compare bills of lading, packing slips, purchase orders, invoices, and work orders.
  • Basic computer skills, including experience with Microsoft Excel.
  • Strong attention to detail and accuracy.
  • Ability to communicate effectively with vendors, carriers, and internal departments.
  • Ability to organize records and maintain accurate documentation.
  • Must be dependable and able to work independently with minimal supervision.
  • Ability to lift, move, and handle packages weighing approximately 25–30 lbs.
  • Ability to go up and down stairs regularly, as supply inventory is stored on a second floor.
  • Ability to stand, walk, bend, reach, and perform repetitive tasks throughout the workday.
  • Ability to safely package, move, and transport materials as required.
  • This position requires access to information subject to the International Traffic in Arms Regulations and/or the Export Administration Regulations. As such, this position is open only to applicants who qualify as “U.S. Persons” according to U.S. federal law.

Responsibilities

  • Receive, unpack, and examine incoming shipments for accuracy, damage, or shortages.
  • Reject damaged items when appropriate and document shortages or shipment discrepancies.
  • Communicate with shippers, vendors, Purchasing, and Quality personnel to resolve issues involving damaged, incorrect, or incomplete shipments.
  • Compare identifying information and count items received against bills of lading, packing slips, purchase orders, and other receiving documents.
  • Route received items to the appropriate departments or storage areas.
  • Maintain organized files of packing slips, purchase orders, and receiving documentation.
  • Pick up parts or materials from local vendors when necessary.
  • Verify that Safety Data Sheets, formerly MSDS, are on file for all received chemicals.
  • Compare work orders with parts or materials to be shipped to verify accuracy, including quantity, part number, material lot, and other required information.
  • Update the invoice log in Excel with shipment details such as date, customer name, and work order number.
  • Assign invoice numbers to shipments and record them on the appropriate work orders.
  • Prepare invoices, packing slips, and certificates of compliance using the company system.
  • Assemble cardboard containers, package items properly, and apply required shipping labels and documentation.
  • Coordinate shipment pick-ups with FedEx, UPS, outside couriers, or other carriers as needed.
  • Deliver late or urgent shipments to FedEx, UPS, or courier drop-off locations when necessary.
  • Maintain adequate inventory of shipping materials and supplies.
  • Remain available, when needed, to work an occasional Friday-off or stay late to support urgent or important customer deliveries.
