About The Position

The Shipping Coordinator manages incoming and outgoing shipments, prepares shipping documents, and tracks orders to ensure on-time delivery. He/she plays an integral role getting orders shipped in a timely manner and in a way to minimize damage. The role includes identifying and implementing actions to continuously improve the shipping process. The Shipping Coordinator should have a proactive approach, ability to perform the functional tasks, and willingness to lead by example. We have a flexible environment where we enjoy working together as a team to do a variety of tasks throughout the facility to fulfill customer jobs. Regular and predictable attendance onsite at our workplace or customer/client locations is required. Ability to meet physical demands and perform the essential job functions within the work environment, including travel requirements identified in this job description. Requirements

  • A degree or experience in Supply Chain, Business, or Operations or equivalent experience.
  • Ability to think strategically, understand business/financial data, and develop related improvement plans.
  • Strong problem solving and analytical skills to resolve complex issues for long-term improvement.
  • Must have knowledge and experience with UPS, FedEx, and LTL carriers.
  • A balance of strategic and tactical leadership with high energy and sense of urgency.
  • Excellent organizational, communication and interpersonal skills.
  • Comfortable and able to work in an industrial environment.
  • Good administrative skills including attention to detail, comparing numbers, and tracking quantities.
  • Good written and verbal communication skills.

  • Experience shipping internationally is preferred.
  • Prefer experience with a custom engineered product or machine build environment.

Responsibilities

  • Manage Shipping supplier relationships and negotiations for the maintenance and improvement of the supply of components and materials.
  • Maintains minimum stock quantities of shipping supplies.
  • Review and prepare orders for shipment by organizing and verifying all necessary documentation, including shipping labels, invoices, and packing lists.
  • Coordinate with the sales, inventory, and warehouse teams to ensure accurate order fulfillment.
  • Schedule and arrange shipments through various carriers, including freight, courier, and local delivery services.
  • Receives purchased parts, pulls parts for jobs, and does cycle counts or monitors others doing these tasks.
  • Communicate with peers about shipping and receiving information that is important to current jobs.
  • Track and monitor shipments to ensure on-time delivery and update customers or internal teams with shipment status.
  • Manage and update stock levels to ensure sufficient inventory is available for shipment.
  • Assist in periodic physical inventory counts and maintain accurate records.
  • Prepare and verify shipping documentation, ensuring compliance with local and international shipping regulations, such as customs documentation for cross-border shipments.
  • Maintain records of all shipped items, costs, and carriers for future reference.
  • Inspect outgoing shipments to verify accuracy, quality, and proper packaging to prevent damage.
  • Work closely with the quality assurance team to ensure products meet company and customer standards.
  • Monitor and control shipping costs, suggesting ways to improve efficiency and reduce expenses.
  • Keep track of shipping expenses and provide cost analyses for management review.
  • Complies with all safety rules and regulations.
  • Overtime or changes in normal shift may be necessary based on customer orders including weekdays, weekends, and/or holidays.
  • Other duties as assigned/necessary.
