About The Position

The Shipping/Invoicing Clerk is responsible for a variety of tasks including (but not limited to) ensuring that all outgoing shipments are processed accurately and efficiently, and that invoices are prepared and submitted in a timely manner. This role involves coordinating with various departments within the company to ensure that customer orders are fulfilled and shipped on time, and that all necessary documentation is completed correctly. This position will involve detailed record keeping, analyzing data/information, having the ability to work independently or in a team environment, critical thinking, and using good judgment in decision-making. Candidate must possess the ability to read and understand information/ideas presented in written form.

Requirements

  • Ability to maintain positive relations within all levels of the organization.
  • Ability to communicate, present facts and provide recommendations effectively in oral and written form.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to work effectively with or without direct supervision as well as independently or in a team environment.
  • Ability to prioritize and work with accuracy under stress.
  • Proficiency in the use of a PC/Laptop including the use of Microsoft Word, Excel, Outlook and other position relevant software applications.
  • General understanding of Less than Truck Load (LTL) and Truck Load weight breaks and routing assignments is needed. Transportation Management System knowledge is a plus.
  • Possess the ability to ship parcel shipments using WebX software system.
  • Strong verbal and written communication skills is required.
  • High School Diploma or Equivalent
  • 2-3 years’ experience in a similar Distribution or Manufacturing Environment

Nice To Haves

  • Bilingual English/Spanish language skills is a plus

Responsibilities

  • Observe, follow and maintain a safe working environment.
  • Process and coordinate outgoing shipments, ensuring that all required documentation is accurate and complete.
  • Prepare and submit invoices to customers in a timely manner.
  • Communicate with various departments within the company to ensure that orders are fulfilled and shipped on time.
  • Maintain accurate records of all shipping and invoicing activities.
  • Handle customer inquiries and resolve any issues related to shipping or invoicing.
  • Clean and maintain supplies, tools, equipment, and storage areas in order to ensure compliance with safety regulations.
