About The Position

Responsible for monitoring each shipment to make sure that outgoing packages are packed correctly and accurately, maintaining shipping records, preparing invoices, and computing freight costs. This role involves verifying order accuracy, ensuring serial and batch numbers match products, reporting and replacing defective items, estimating shipping costs, preparing invoices and delivery orders, and determining the best shipment methods. The Shipping Clerk will record all transactions in the company database, post outbound deliveries, process customer orders, prepare and affix labels, ensure proper packing and labeling, handle outgoing shipments, and maintain shipping records. Additionally, this position involves tracing lost shipments, initiating proof of delivery documents, preparing palletized shipments for freight, collaborating with the Accounting Department on international shipment details (e.g., broker house, fees, duty costs), maintaining shipping supplies, keeping the workstation clean, assisting in other areas as needed, and working closely with carriers on shipping procedures.

Requirements

  • High school diploma or general education degree (GED); or two years related experience and/or training; or equivalent combination of education and experience.

Responsibilities

  • Verifies accuracy of orders by matching them with quantities and types.
  • Ensures that serial and batch numbers match the product.
  • Reports and replaces any defective item prior to packaging.
  • Estimates weight and uses the information to calculate the cost of shipping.
  • Prepares invoices and delivery orders.
  • Determines method of shipment by utilizing knowledge of shipping procedures, rates, and routes.
  • Ensures that all transactions are recorded in company database.
  • Ensures posting of outbound deliveries using pre-designated software.
  • Processes customers’ orders by ensuring that the right shipment is on its way.
  • Prepares and pastes labels on shipments.
  • Ensures that items are properly packed and labeled.
  • Handles outgoing shipments by checking them physically.
  • Keeps and verifies records on outgoing shipments.
  • Makes sure that items are loaded onto shipment vehicle in safe and timely manner.
  • Maintains shipping database, prepares routine reports, and files shipping records.
  • Traces lost shipments and/or customer claims of lost shipments and initiates proof of delivery documents.
  • Prepares and packages material design to be shipped on pallets for freight shipments.
  • Works close with the Accounting Department to determine and address all questions related to international shipments for example: broker house, handling and shipping fees, duty cost etc.
  • Maintains and organizes adequate shipping supplies.
  • Keeps work station and area clean.
  • Assists in other areas as needed and performs other duties as assigned.
  • Works closely with the carriers on shipping procedures and processes.
