About The Position

This position supports shipping operations through the execution of various administrative tasks. Key responsibilities include import/export administration, data entry for shipment details and railroad activity, maintenance of shipping records, and generating various reports. The role also involves inventory maintenance, scheduling appointments for incoming vehicles, providing logistical direction, and assisting with shipping instructions. Additionally, the clerk will record training attendance, provide administrative support to the Shipping Superintendent, collaborate with internal and external entities, ensure adequate inventory of shipping supplies, monitor hopper car/truck conditions, and liaise between office personnel and the department. This position involves safety-sensitive job duties.

Requirements

  • Proficiency in uploading documents to statistical process control (SPC) software.
  • Experience with creating loading documents including placards, stencils and packaging documentation.
  • Data entry skills for shipment details and information.
  • Experience with railroad activity data entry, including generating bills of laden (BOL’s), recording railcar weights, and authorizing railcar entrance and exit.
  • Familiarity with site-specific software for rail operations (e.g., Rail Connect, Railmate).
  • Ability to maintain and organize shipping records (shipping instructions, inventory loading sheets, bladder charts).
  • Skills in generating scheduled and ad hoc reports.
  • Experience with inventory maintenance and monitoring.
  • Ability to monitor and track empty hopper cars.
  • Experience scheduling appointments for incoming vehicles.
  • Ability to provide logistical direction for vehicle drivers.
  • Assistance with shipping instructions (SI) requirements and special requests.
  • Experience generating switch schedules.
  • Ability to track, monitor and update materials location.
  • Skills in generating checklists for validation of items leaving and entering the plant.
  • Ability to record attendance for training sessions.
  • Experience maintaining logs of safety/process training.
  • Ability to provide administrative support to a superintendent.

Responsibilities

  • Performs import/export administration.
  • Uploads documents to statistical process control (SPC) software for Lab/QA review.
  • Creates loading documents including placards, stencils and packaging documentation.
  • Performs data entry regarding shipment details and information.
  • Performs data entry regarding railroad activity including generating bills of laden (BOL’s), recording railcar weights, and authorizing railcars entrance and exit from the plant utilizing site specific software (i.e. Rail Connect, Railmate, etc.).
  • Ensures the consistent maintenance and organization of all shipping records (i.e. shipping instructions, inventory loading sheets, bladder charts etc.) for quality assurance and audit purposes.
  • May provide absence relief for other clerks.
  • Generates scheduled and ad hoc reports that may include but are not limited to: Ship Pack Rerun, Chemical/Residue/Warehouse/Supply Inventory, Department Metrics including but not limited to: Off weight bag weights, Off specification material tracking, Onsite and inbound empties (i.e. empty hopper cars located onsite or nearby), Van loading times in order to analyze arrival and duration of vehicle onsite.
  • Performs inventory maintenance and monitoring including: Hopper car/hopper truck inventory inspection sheets, Off spec materials (hopper cars/trucks, warehouse locations, IQF Tabulation).
  • Monitors and tracks empty hopper cars either located onsite for loading or nearby available for loading.
  • Schedules appointments for incoming vehicles.
  • Provides logistical direction for vehicle drivers assisting in plant navigation.
  • Assists packing and shippers with the execution of shipping instructions (SI) requirements and special requests including hopper car/truck seal setup and van setups.
  • Generates switch schedule.
  • Tracks, monitors and updates materials location.
  • Generates checklists to ensure items leaving and entering in the plant are validated to comply with customer instructions; regulatory agencies directives; and according to expectations.
  • Records attendance for all training sessions (safety, process, etc.).
  • Maintains log of safety/process training.
  • Provides exclusive administrative support to the Shipping Superintendent including but not limited to: Resource planning for upcoming orders and product assignments, Communicating and executing packaging plans and changes with shipping supervisors, Create reminder schedule for employee reviews, procedure changes, etc.
  • Collaborates with various internal and external entities to communicate: Inventory (warehouse, bagging, etc.) statuses, Timekeeping review and validation, Department processes and information, Carbon black sample tracking.
  • Ensures adequate inventory of shipping department supplies (e.g. flexible intermediate bag container (FIBC), stencils, etc.).
  • Monitors and communicates concerns to appropriate authorities regarding inspection and repair history of hopper cars/trucks.
  • Liaises between office personnel notices and department to ensure vital information is shared timely and appropriately (e.g. internal job postings, meeting schedules, etc.).
  • Performs additional duties as required by the Shipping Superintendent.
