About The Position

Supports shipping operations through the execution of various administrative tasks, including import/export administration, data entry, record maintenance, reporting, inventory monitoring, logistics coordination, and training record management. This role also provides administrative support to the Shipping Superintendent and collaborates with internal and external entities to ensure smooth operations.

Responsibilities

  • Upload documents to statistical process control (SPC) software for Lab/QA review.
  • Create loading documents including placards, stencils and packaging documentation.
  • Perform data entry regarding shipment details, railroad activity (generating bills of laden (BOL’s), recording railcar weights, authorizing railcars entrance and exit from the plant utilizing site specific software).
  • Ensure consistent maintenance and organization of all shipping records for quality assurance and audit purposes.
  • Provide absence relief for other clerks.
  • Generate scheduled and ad hoc reports (e.g., Ship Pack Rerun, Chemical/Residue/Warehouse/Supply Inventory, Department Metrics, Off weight bag weights, Off specification material tracking, Onsite and inbound empties, Van loading times).
  • Inspect and monitor hopper car/hopper truck inventory sheets and off-spec materials.
  • Monitor and track empty hopper cars for loading.
  • Schedule appointments for incoming vehicles.
  • Provide logistical direction for vehicle drivers and assist with plant navigation.
  • Assist packing and shippers with shipping instructions (SI) requirements and special requests.
  • Generate switch schedules and track/monitor/update material locations.
  • Generate checklists to ensure items leaving and entering the plant comply with customer instructions, regulatory agencies directives, and expectations.
  • Record attendance for all training sessions and maintain a log of safety/process training.
  • Provide administrative support to the Shipping Superintendent, including resource planning, communicating packaging plans, and creating reminder schedules for employee reviews and procedure changes.
  • Collaborate with internal and external entities to communicate inventory statuses, timekeeping review and validation, department processes, and carbon black sample tracking.
  • Ensure adequate inventory of shipping department supplies.
  • Monitor and communicate concerns regarding inspection and repair history of hopper cars/trucks.
  • Liaise between office personnel notices and the department to ensure vital information is shared timely and appropriately.
  • Perform additional duties as required by the Shipping Superintendent.
