About The Position

The Shipping Coordinator is responsible for the accurate and efficient coordination of all inbound and outbound shipments. This role ensures shipping documentation is complete and correct prior to loading, verifies that every load meets customer-specific requirements, assigns dock doors, and drives timely truck turnaround to prevent detention charges. The Coordinator works in accordance with all GMPs, internal SOPs, and company safety standards to maintain the integrity of the shipping process and protect customer relationships.

Requirements

  • High School diploma or equivalent required
  • Minimum 2 years of relevant shipping, receiving, or logistics experience in a manufacturing or distribution environment
  • Knowledge of and ability to use and influence organization's policies, standards and procedures guiding manufacturing processes
  • Knowledge of strategies and tools for controlling and optimizing the factors that lie between the purchase of raw materials and delivery of finished products
  • Ability to effectively manage the business relationship and transactions with the suppliers of raw materials or product components
  • Knowledge of issues and considerations for effectively managing local or distributed inventories of raw materials, work in progress and finished goods
  • Knowledge of the processes, tools and operational considerations for effective and efficient movement of goods and materials throughout the manufacturing cycle.
  • Knowledge of the day-to-day operations of a manufacturing plant or facility

  • They will maintain quality standards by establishing, enforcing and adhering to organizational standards set forth in published policies, procedures and processes.

Responsibilities

  • Maintain the carrier sign-in / sign-out log and accurately record appointment numbers, shipping numbers, scheduled times, carrier, and destination.
  • Assign dock doors for all inbound and outbound loads based on schedule, product readiness, and facility flow.
  • Confirm every load meets customer guidelines prior to departure (temperature monitoring devices, freight watch, multi-stop sequencing, proper labels and placards, reefer set points, etc.).
  • Verify trailers are loaded to customer specifications (double-stackable vs. non-stackable, airbags, load bars, straps, pinwheel patterns, and other securement methods).
  • Partner directly with the Quality Associate to ensure seals are properly applied and Bills of Lading (BOLs) are signed and complete.
  • Review all BOLs for accuracy; return signed originals to the inventory / customer service team and maintain shipping records.
  • Print and distribute the shipping schedule for the following shift; confirm that staged loads for the next shift are damage-free and correctly prepared.
  • Actively follow up on truck arrivals and departures to minimize dwell time and avoid detention charges.
  • Report all discrepancies on outbound loads (refusals, no-shows, holds, blocks, quarantines) to leadership and the appropriate departments in a timely manner.
  • Maintain a safe, clean, and organized work environment in the shipping office and dock area.
  • Communicate effectively with production, inventory, quality, and carrier personnel to coordinate product readiness and shipment timing.
