About The Position

Ensure the efficient, accurate, and timely coordination, processing, tracking, receipt, and delivery of incoming and outgoing parcels, packages, and freight in support of the LMU community. This role involves coordinating all incoming parcel and freight operations, receiving, inspecting, processing, recording, and tracking shipments. It also includes coordinating all outbound shipping activities, preparing shipping documentation, processing shipments, and scheduling pickups with common carriers. The position requires transporting shipments throughout the University and providing support for deliveries and temporary storage for various LMU departments. Responsibilities also include responding to communications, resolving shipping issues, and maintaining a safe, clean, and organized warehouse environment. Additionally, the role involves coordinating and supervising student employees, performing campus mail delivery, and potentially coordinating the receipt and dispatch of U.S. mail.

Requirements

  • Typically, High school diploma. Additional college classes or training are desirable.
  • A minimum of two (2) years of progressively responsible experience in shipping, receiving, warehouse, logistics, or distribution operations.
  • Experience operating forklifts and other material-handling equipment in a warehouse environment.
  • The ability to obtain and maintain forklift certification in accordance with University requirements.
  • Knowledge of the rules, regulations, and operational procedures of common carriers, including but not limited to USPS, UPS, FedEx, and other parcel and freight service providers.
  • Knowledge of shipping and receiving operations, inventory control, recordkeeping, filing systems, and warehouse best practices.
  • Proficiency in computerized shipping, receiving, tracking, and data entry systems.
  • Knowledge of safe warehouse operations, including the proper use of forklifts, pallet jacks, carts, and other material-handling equipment, as well as applicable workplace safety standards and procedures.
  • Ability to quickly learn and adapt to all Distribution Center operations, policies, procedures, and technologies.
  • Ability to maintain detailed and accurate manual and computerized records while utilizing shipping, receiving, and parcel tracking systems.
  • Demonstrated ability to prioritize and process a high volume of incoming, outgoing, and intracampus shipments within established daily deadlines.
  • Ability to communicate clearly, professionally, and effectively with common carriers, vendors, faculty, staff, students, and other members of the LMU community.
  • Strong organizational, problem-solving, and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in mathematics and basic accounting, bookkeeping, and financial reconciliation principles.
  • Strong interpersonal, verbal, and written communication skills, with the ability to interact professionally and effectively with faculty, staff, students, vendors, common carrier representatives, and individuals at all levels of the University.
  • Demonstrated problem-solving, organizational, and customer service skills, with the ability to exercise sound judgment in a fast-paced operational environment.
  • Proficiency in the use of computerized shipping, receiving, parcel tracking, inventory management, and Microsoft Office applications.

Responsibilities

  • Coordinate all incoming parcel and freight operations for the University community.
  • Receive, inspect, process, record, and track shipments using manual and electronic tracking systems while maintaining accurate delivery documentation, including recipient signatures.
  • Coordinate all outbound shipping activities by preparing shipping documentation, processing shipments, and scheduling pickups with UPS, FedEx, and other common carriers.
  • Transport shipments throughout the University using carts, forklifts, and other approved equipment.
  • Provide support and coordinate deliveries and temporary storage for the LMU community, including Facilities Management, Marketing and Communications, Information and Technology Services, and Conferences Services.
  • Coordinate inbound and outbound shipping activities by responding to emails, phone calls, and other communications from the LMU community.
  • Provide timely information, resolve shipping and delivery issues, and facilitate effective communication between customers, departments, and common carriers.
  • Maintain a safe, clean, organized, and efficient warehouse and receiving dock environment by following University safety policies, applicable regulations, and best practices.
  • Ensure work areas remain free of hazards, maintain proper storage of materials, and promote safe operating procedures for personnel and equipment.
  • Maintain required certifications and remain current on safety procedures for the operation of forklifts, carts, pallet jacks, and other material-handling equipment.
  • Coordinate, schedule, train, and supervise student employees.
  • Assign daily work, monitor performance and productivity, provide coaching and guidance, and ensure adherence to established operating procedures, customer service standards, and workplace safety requirements.
  • Develop and maintain proficiency in all Distribution Center functions to provide operational flexibility and continuity.
  • Perform campus mail delivery as required and coordinate the receipt and dispatch of U.S. mail to and from USPS as needed.
  • Perform other duties as assigned.
