About The Position

The Shipping and Receiving Clerk controls material entering and leaving CCS. On the inbound side the position receives, verifies, documents, and routes incoming material so that it enters inventory accurately and moves to inspection or stock without delay. On the outbound side the position packages, documents, and ships customer orders so that product leaves complete, protected, correctly documented, and on the date promised. This is one role covering both functions. Each person in the position will typically focus on one side of the work day to day, but is trained and kept current on both so that coverage, volume spikes, and absences never put the schedule at risk. Assignment between inbound and outbound is made by the Supply Chain Manager or Warehouse Supervisor and can change with the needs of the business. This is a key position. Every dollar of material CCS buys and every dollar of product CCS sells passes through this function, and the accuracy of the work here is what inventory, cost, customer delivery performance, and audit records are built on. The position works across the organization, including Accounting, Planning, Maintenance, Quality, and leadership, and is expected to keep learning the business beyond the dock rather than staying inside a fixed set of tasks. Due to the regulated nature of CCS products, the position exercises judgment in verifying documentation, identifying discrepancies before material is accepted or released, and holding shipments that do not meet quality or export documentation requirements.

Requirements

  • Must be a US Person as defined by ITAR (22 CFR 120.15) due to the export controlled nature of CCS products and technical data.
  • High school diploma or GED required.
  • Two or more years of shipping and receiving experience in a manufacturing or distribution environment.
  • Willingness and ability to perform both receiving and shipping work and to move between them as the business requires.
  • Experience with MRP receiving and shipping transactions.
  • Familiarity with carrier systems such as UPS, FedEx, and freight portals.
  • Forklift certification required or the ability to obtain it within 30 days of hire.
  • Ability to read and interpret purchase orders, packing slips, engineering drawings, and revision levels.
  • Basic computer skills including Excel, email, and handheld scanning equipment.
  • Ability to lift 35 pounds and to stand and move throughout the shift.

  • Working knowledge of ITAR and EAR export documentation requirements preferred.
  • Experience in an AS9100 or ISO 9001 environment preferred.

Responsibilities

  • Unload, verify, and receive inbound material against the purchase order and packing slip for part number, revision, quantity, and condition.
  • Enter receipts in the MRP system accurately and on the day the material arrives so that inventory and purchasing data stay true.
  • Route material to inspection, stock, or the requesting department, and identify and tag material requiring source or receiving inspection.
  • Document and escalate overages, shortages, damage, and paperwork discrepancies immediately rather than accepting and sorting it out later.
  • Verify that required certifications and documentation arrive with the material and file them to the traceability requirements.
  • Pick, stage, pack, and ship customer orders complete and on the promised date, using packaging that protects the product in transit.
  • Generate packing slips, labels, bills of lading, and carrier documentation and tender shipments to the correct carrier and service level.
  • Assemble the required shipment documentation package, including certificates of conformance and customer specific paperwork.
  • Prepare export documentation, including commercial invoices and required export control information, in compliance with ITAR and EAR requirements.
  • Hold any shipment that lacks required quality or export documentation and escalate rather than release it.
  • Work with Accounting on receipt and invoice matching, freight billing, and the documentation needed to close the transaction.
  • Work with Planning and Purchasing on inbound timing, expedited receipts, and what has actually arrived against what was expected.
  • Work with Quality on inspection routing, nonconforming material, returned material, and the documentation that ships with product.
  • Work with Maintenance on the condition and servicing of dock equipment, powered industrial equipment, and the shipping and receiving area.
  • Provide leadership with accurate daily status on inbound backlog, shipments made, and anything that puts a customer commitment at risk.
  • Perform MRP transactions accurately for every physical move so that system inventory matches the floor.
  • Support cycle counting and inventory accuracy in receiving, staging, and shipping areas.
  • Maintain first in first out handling, shelf life control, and identification and traceability on all material handled.
  • Handle returned material and RMA receipts according to procedure and route them to the correct owner.
  • Maintain current working proficiency on both the receiving and the shipping side of the function, including system transactions and documentation.
  • Learn how the work connects to inventory accuracy, cost, and customer delivery performance rather than treating it as a set of steps.
  • Take on additional material control, documentation, and system responsibility as proficiency grows.
  • Train and support others in the function as assigned.
  • Follow all AS9100 and ISO 9001 procedures, work instructions, and revision controls applicable to receiving and shipping.
  • Comply with ITAR and export control requirements governing controlled parts, technical data, and shipment screening.
  • Operate forklifts, pallet jacks, and other powered equipment safely and only with current certification.
  • Follow all safety rules and personal protective equipment requirements and keep dock, staging, and aisle areas clear and orderly.
