About The Position

Raymond Storage Concepts (RSC) is a leading provider of customized material handling solutions focused on warehouse and fleet optimization. As an authorized Raymond sales and service center, we support customers throughout Ohio, Kentucky, Southeast Indiana, and West Virginia from our locations in Cincinnati, Columbus, and Louisville. We are looking for a highly organized and proactive Ship-In Coordinator to join our Sales Coordination team at our Blue Ash headquarters. This role is all about keeping new equipment deliveries moving from order through delivery and installation. You will be the connection point between Sales, Service, other Raymond dealers, logistics partners, vendors, and customer locations. From confirming delivery schedules and coordinating technicians to tracking documentation and solving last-minute issues, you will help make sure the right equipment gets to the right place with the right support. This is a great opportunity for someone who enjoys coordinating a lot of moving pieces, communicating with different teams, solving problems, and taking ownership from start to finish.

Requirements

  • Proficiency with Microsoft Office, including Outlook, Excel, and Word.
  • Experience using computer-based systems to enter, maintain, and track information.
  • Ability to communicate professionally and effectively with internal and external customers.
  • Must be authorized to work in the United States without current or future employer sponsorship.

Nice To Haves

  • Previous experience in sales coordination, customer service, sales support, administrative support, logistics, or a similar role.
  • Experience supporting a field sales team or coordinating customer orders, deliveries, or quotations.

Responsibilities

  • Serve as a key point of coordination throughout the equipment delivery and installation process.
  • Review equipment orders, acknowledgements, ship dates, and delivery timelines to make sure everything is on track.
  • Review incoming ship-in notifications and kick off the internal coordination process.
  • Stay ahead of upcoming deliveries and prioritize activities based on customer and business needs.
  • Coordinate equipment delivery dates and times with logistics partners, dealers, and internal teams.
  • Partner with our Service team to make sure a qualified technician is available when equipment requires installation, setup, or delivery support.
  • Coordinate the ordering, preparation, scheduling, shipment, tracking, delivery, and return of demo equipment.
  • Troubleshoot shipment and delivery issues and work with the right people to find solutions.
  • Stay on top of open items and follow through until they are complete.
  • Track installation progress and follow up on outstanding work to keep jobs moving toward completion.
  • Create and maintain organized job folders for equipment shipments and installations.
  • Keep order acknowledgements, logistics communications, delivery documentation, invoices, and other records accurate and organized.
  • Maintain shipment, delivery, installation, and outstanding action information within our tracking systems.
  • Review installation invoices and supporting documentation.
  • Provide the Sales Coordination team with the information needed to support accurate billing and payment.
  • Make sure each job is fully documented and administratively closed once all requirements are complete.
  • Act as a liaison between Raymond, Toyota Material Handling logistics teams, dealers, Sales, Service, vendors, and other internal departments.
  • Keep everyone informed when schedules, requirements, or circumstances change.
  • Coordinate with internal teams to make sure demo equipment is prepared and available when needed.
  • Confirm customer sites are ready before equipment arrives.
  • Work collaboratively to resolve delivery, scheduling, or site-readiness challenges.
  • Maintain visibility of equipment throughout the process and provide timely status updates.
  • Confirm required site conditions are in place before equipment delivery and installation.
  • Identify potential site-readiness or safety concerns before they create problems.
  • Coordinate with dealers, logistics partners, and Service to address missing requirements.
  • Make sure technicians and other necessary resources are properly coordinated before equipment arrives.
  • Escalate safety or installation concerns when conditions do not meet requirements.
