About The Position

The SHINE Liaison Assistant role is an integral member of the SHINE team working in direct correlation with the local SHINE Liaison, Volunteer Leadership and Counselors. The SHINE Liaison Assistant personnel provides assistance on the local level where needed to all areas of the program as determined by the Liaison.

Requirements

  • Completion of eight required mentoring sessions with a seasoned volunteer or local liaison/leadership member.
  • Must maintain active SHINE Volunteer Counselor status and complete STARS, SIRS, and eCIRTS trainings.
  • High school diploma or equivalent.
  • Minimum of three years’ experience in a similar program or social services agency.
  • Experience with Microsoft applications, including Excel, Word, and Outlook.
  • Valid Florida driver’s license is required.
  • Must be able to pass Level II Background Screening.
  • Employee must be able to maintain effective audio-visual discrimination and perception as needed to make observations, read and write, make practical mathematical computations, communicate with others, and operate assigned office equipment.
  • Employee must maintain mental capacity which permits him/her to make sound decisions, use good judgement, adjust to changing circumstances and emergencies, demonstrate intellectual capabilities and work effectively with others, specifically senior adults.
  • Employee must maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include the following: sitting or standing for extended periods of time and operating assigned office equipment such as telephone, computer, calculator, copy and/or fax machines.
  • Employee must be able to lift or move boxes up to 10lbs.

Responsibilities

  • Accurately completes and inputs SHINE Beneficiary Contact, Group and Media Outreach Education Events and other reporting forms to assure continued funding.
  • Openly communicates with local program volunteers on behalf of leadership as needed.
  • Schedules counseling site availability per counselor and communicates said schedule.
  • Assists with monthly programmatic reports.
  • Attends and completes all required SHINE training, as scheduled by the Department of Elder Affairs.
  • Participation in routine local training (quarterly or monthly).
  • Completes office management tasks at the direction of the Liaison and/or Director of Programs and Planning.
  • Boxes and organizes prior-year reports for transfer to off-site storage.
  • Prepares Travel Reimbursement forms for Volunteer and Staff for attendance to conferences/events for reimbursement.
  • Maintains an accurate and up-to-date volunteer list.
  • Monitors and maintains supply inventory; initiates orders when supplies are low.
  • Tracks SHINE staff and volunteer background screening renewal dates and coordinates required paperwork for timely renewals.
