About The Position

FBMM is seeking a SharePoint & Microsoft 365 Platform Administrator to manage, migrate, govern, and optimize their Microsoft 365 collaboration environment, including SharePoint Online, Microsoft Teams, and OneDrive. This role is crucial for transitioning to a standardized, governed, client/entity-based collaboration model. The administrator will be responsible for SharePoint architecture, Teams-connected workspaces, document libraries, metadata, permissions, site lifecycle policies, external sharing controls, storage management, and user adoption. This is a strategic and hands-on role that involves partnering with leadership, stakeholders, and external experts to ensure SharePoint becomes a secure, scalable, searchable, AI-ready, and user-friendly source of truth for client and operational work.

Requirements

  • At least 4 years of hands-on experience administering SharePoint Online, Microsoft Teams, OneDrive, and Microsoft 365 Groups, including document libraries, content types, managed metadata, document sets, search, versioning, and retention concepts.
  • Strong understanding of SharePoint permissions, Entra ID security groups, guest access, external sharing, and access-review processes.
  • Ability to translate business requirements into information architecture, governance standards, and technical configuration.
  • Experience with SharePoint migrations, including planning, mapping, testing, validation, and stakeholder coordination.
  • Working knowledge of Microsoft Purview, DLP, sensitivity labels, retention labels, and compliance concepts.
  • Strong documentation, training, and stakeholder-communication skills; ability to work with a variety of internal and external stakeholders, across disciplines and position levels.
  • Strong troubleshooting skills including, but not limited to, permissions, sync, sharing, metadata, and search issues.

Nice To Haves

  • Familiarity with tools such as ShareGate, Microsoft SharePoint Migration Tool, AvePoint, or Quest.
  • Experience in financial services, family office, accounting, tax, legal, or another environment with intense client confidentiality requirements.
  • Experience with PowerShell, PnP PowerShell, Microsoft Graph, and Power Automate.
  • Relevant Microsoft 365 administration, security, compliance, Teams, SharePoint, or Power Platform certification(s).
  • Experience supporting AI-readiness, Copilot readiness, metadata strategy, or enterprise search improvements.

Responsibilities

  • Lead the migration from the current folder-based model to the approved client/entity-based structure, including roadmap, pilots, migration waves, validation, and stakeholder signoff.
  • Translate governance recommendations into a practical target-state architecture, including client Teams, entity-level libraries or channels, document sets, and standardized templates.
  • Establish migration standards for naming conventions, structure, permissions, archival, and legacy folder cleanup.
  • Maintain migration documentation, decision logs, and exception lists.
  • Coordinate with business managers and client teams to validate migrated content.
  • Administer SharePoint Online sites, document libraries, hub sites, communication sites, and Teams-connected sites.
  • Manage SharePoint admin center configuration, including site creation, storage limits, sharing controls, ownership, and lifecycle.
  • Manage OneDrive governance, including deleted user retention, sync guidance, and user support.
  • Coordinate with IT on Entra ID groups, Microsoft 365 Groups, Teams membership, and authentication requirements.
  • Design and maintain a standard permissions model for clients, entities, and cross-functional users.
  • Establish a repeatable process for client reassignment and ongoing access reviews for sensitive sites, libraries, and external guests.
  • Manage external sharing settings in partnership with Legal, Compliance, and Security.
  • Report on permission exceptions, orphaned permissions, and high-risk sites.
  • Define and manage escalation procedures for access to disputes.
  • Implement metadata standards for client, entity, document category, sensitivity, and retention.
  • Configure content types, managed metadata, document sets, default views, and templates.
  • Build search-friendly naming and tagging standards and maintain documentation for what goes where.
  • Support the organization's goal of AI- and -ready search and content.
  • Monitor tenant and site storage consumption and implement mitigation plans, including duplicate cleanup, inactive-site archival, and forecasting.

  • Maintain site ownership standards and build reporting for inactive, ownerless, or high-growth sites.
  • Partner with Legal, Compliance, and IT/Security to implement a metadata-driven DLP strategy in Microsoft Purview.
  • Support sensitivity labeling, retention labeling, and controlled external sharing.
  • Monitor DLP incidents, policy tips, and business impacts, and maintain documentation for compliance-related processes.
  • Develop end-user guidance and lead training on the Teams/SharePoint/OneDrive model, including navigation, document sets, and metadata.
  • Run office hours and create quick-reference guides during migration and post-migration stabilization.
  • Develop onboarding materials for new employees and collect adoption feedback to refine the information architecture.
  • Use PowerShell, PnP PowerShell, Microsoft Graph, and Microsoft 365 reporting tools to automate repeatable administrative work.
  • Build dashboards for storage, external sharing, permission of exceptions, site ownership, and migration progress.
  • Maintain an issue log, enhancement backlog, and governance roadmap, and coordinate vendor and Microsoft support as needed.
