About The Position

The Settlement Coordinator supports the Strategic Programs team by managing the administrative coordination of settlement follow-ups, reconciliations, and case status synchronization with our litigating partner law firms (PLPs). This role reports to the Director of Strategic Programs and works closely with Claimant Services, Operations, Law Firm Relations, and external PLP contacts to ensure that case data accurately reflects in the partner portal what is happening at the litigating firm level. The Settlement Coordinator keeps settlement and case status data clean, current, and reconciled. This role follows up on medical record work-up results and settlement disbursements, identifying and resolving discrepancies between Broughton and our PLPs. The ideal candidate is highly detail-oriented with a genuine passion for clean data, communicates clearly and proactively, and exercises sound judgment.

Requirements

  • High school diploma or equivalent required.
  • 2+ years of related experience in administrative coordination, data entry/quality, claims processing, paralegal support, account services, and/or back-office operations.
  • Highly organized with a strong attention to detail
  • Dedicated to upholding rigorous quality standards to ensure data reliability and consistency
  • Excellent written and verbal communication skills, excelling at managing stakeholder expectations and driving project timelines through consistent, professional follow-up
  • Proven ability to balance independent problem-solving with the discernment to involve senior stakeholders when high-value assets are at risk
  • Skilled at working with structured data, CRMs, and/or case management systems/software
  • Proficiency in Google Workspace suite and/or Microsoft Office suite
  • Expertly handles privileged information in alignment with internal privacy protocols and industry-standard data protection regulations
  • Proven ability to partner effectively with diverse departments to align goals and drive project completion

Nice To Haves

  • Associate's or Bachelor's degree or an equivalent combination of education and work-related experience preferred.
  • Mass tort, personal injury, and/or legal industry experience is strongly preferred.
  • Prior exposure to settlement administration, lien resolution, and/or medical record review is preferred.
  • Coursework or certification in legal administration, paralegal studies, project management, or data analysis is preferred.
  • Experience using project management or case management tools (Salesforce, Monday.com, Litify, Filevine, or similar)

Responsibilities

  • Track active settlements across PLPs and follow up on outstanding disbursements, releases, and qualifying documentation
  • Reconcile Broughton's settlement records against PLP reporting; identify and resolve discrepancies
  • Maintain clean, current settlement data across the partner portal and internal systems
  • Support referral firm settlement inquiries by gathering and verifying status information from PLPs
  • Issue order close outs in coordination once cases on orders have been fully resolved
  • Conduct regular reconciliations between Broughton's case files and PLP case management systems to keep statuses in sync
  • Follow up on medical record work-up results and other case milestones, ensuring outcomes are reflected in Broughton's systems
  • Identify and escalate cases where Broughton and PLP statuses diverge beyond agreed thresholds
  • Document the resolution of all status discrepancies for future audit and process improvement
  • Prepare visual summaries and dashboards on settlement, status, and reconciliation activity
  • Audit data inputs for completeness and accuracy; surface patterns that suggest a process issue rather than a one-off
  • Support data accuracy goals tied to partner portal adoption and PLP integrations
  • Provide clear, concise written and verbal updates to the Director of Strategic Programs and cross-functional stakeholders
  • Communicate professionally and persistently with PLP contacts when following up on outstanding items
  • Distinguish between items to handle independently and items that require escalation; escalate early when client relationships, revenue, or compliance are at risk
  • Support meeting preparation, note-taking, and follow-up actions
  • Maintain program documentation, status reports, and standard operating procedures, including uploads to Trainual
  • Support the Director of Strategic Programs on cross-functional projects as needed
  • Participate in special projects or initiatives as directed by leadership
