About The Position

The Service Projects Specialist supports the successful delivery of HVAC service projects from turnover through closeout. Working closely with Service Account Managers, Service Projects leadership, field teams, clients, vendors, subcontractors, and internal partners, this position coordinates the people, materials, schedules, documentation, and resources needed to keep projects moving safely, efficiently, and profitably. This role provides administrative support throughout the project lifecycle, including preconstruction and estimating support, project planning, procurement, scheduling, change management, budget tracking, client communication, and closeout. The Service Projects Specialist serves as a key connection between the office and field, helping ensure our teams have what they need to execute successfully and our clients receive the experience that allows MTech to be “asked back.”

Requirements

  • Working knowledge of commercial HVAC/mechanical systems, equipment, installation practices, and service project workflows.
  • Ability to read and interpret project proposals, scopes of work, mechanical drawings, specifications, submittments, and equipment documentation.
  • Understanding project scheduling, procurement, permitting, inspections, subcontractor coordination, and project closeout processes.
  • Experience tracking project costs, labor hours, materials, budgets, and margins.
  • Strong organizational and time-management skills with the ability to support multiple active projects, prioritize competing demands, and meet deadlines.
  • Strong written and verbal communication skills with the ability to communicate effectively with clients, field personnel, vendors, subcontractors, and internal teams.
  • Demonstrated problem-solving skills and ability to make timely decisions when project conditions or priorities change.
  • Strong attention to detail and consistent follow-through on commitments.
  • Ability to work independently while collaborating effectively within a team environment.
  • Proficiency with Microsoft Office, including Excel; ability and willingness to learn MTech project management and business systems, (BuildOps and Viewpiont).
  • Ability to travel to active jobsites and client facilities as required.
  • Must meet MTech's driving standards.

Responsibilities

  • Participate in estimating meetings and pre-estimate job walks as needed, to support accurate estimates and proposals.
  • Participate in project turnover with the Service Account Manager (SAM), reviewing proposal, scope, contract requirements, schedule, budget, and commitments made to the client.
  • Help to resolve scope gaps, unclear information, or other deficiencies prior to project execution.
  • Coordinate with engineering as needed to obtain required drawings, specifications, and project documentation.
  • Determine permitting requirements and coordinate permit applications with internal teams and subcontractors as appropriate.
  • Collaborate with Service Projects leadership and field teams to establish project responsibilities, execution plans, and resource needs.
  • Assist with developing and maintaining project schedules based on scope, client commitments, field capacity, material lead times, and subcontractor requirements.
  • Coordinate equipment, materials, purchase orders, subcontractors, permits, inspections, budget, and other project resources to support efficient field execution.
  • Prepare comprehensive job information for field teams, including client/site information, drawings, submittals, installation manuals, schedules, and other applicable documentation.
  • Coordinate vendor start-ups, inspections, permit requirements, and other project-specific activities.
  • Monitor project progress against the original scope and budget, work with project leadership in identifying risks or issues early.
  • Maintain timely, professional communication with clients regarding project schedules, progress, milestones, changes, and concerns, ensuring questions are addressed and clients remain informed throughout project execution.
  • Collaborate with Service Account Managers, Field Managers, technicians, subcontractors, vendors, and internal teams to coordinate project needs, resolve challenges, and support strong client relationships that allow MTech to be “asked back.”
  • Coordinate project completion, final site walks, inspections, permit closeouts, vendor start-ups, and client training as required.
  • Compile and deliver required closeout documentation, including warranties, IOMs, start-up documentation, inspection records, and other project-specific materials.
  • For projects impacting preventive maintenance agreements (PMAs), coordinate with the Field Manager, Lead Technician, estimating team, and SAM to communicate equipment additions or changes requiring PMA updates.
  • Ensure final project documentation is complete and properly maintained in the job file.
  • Promote and follow MTech's safety policies, procedures, culture, and values.
  • Participate in Service meetings, technical training, and other department initiatives as needed.
  • Assist with smaller projects and other Service Projects responsibilities based on department needs.
  • Maintain regular and dependable attendance.
  • Perform other duties as assigned.
